SUMMARY The Managing Clerk provides litigation support to Attorneys and Paralegals in the New York City office by ensuring pleadings and court filings comply with applicable court rules, procedures, and formatting requirements. Assists with the preparation, service, and filing of court documents, maintains attorneys’ electronic filing registrations, and coordinates filings as required.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Serves as a primary resource to Attorneys and Paralegals on court rules, procedures, and filing requirements for New York State and Federal Courts, ensuring compliance with applicable rules and protocols.

Researches and provides guidance on court rules, procedures, and filing requirements in other jurisdictions as needed.

Oversees and coordinates the preparation, service, and filing of court papers, including electronic and manual filings, when required.

Communicates with court clerks regarding filings, procedural issues, and court requirements.

Conducts court‑related research, retrieves filed documents from courts, and obtains Certificates of Good Standing for pro hac vice admissions.

Maintains and updates firmwide procedural form files and templates related to court filings.

Coordinates and manages electronic case filing (ECF) registrations for New York City attorneys in state and federal courts.

Maintains an accurate and up‑to‑date directory of attorneys’ bar admissions, court registrations, and filing IDs.

Acts as a point of contact for special court‑related research assignments, including client‑specific or matter‑specific requests.

Supports the Managing Clerk in developing best practices, training, and guidance related to court procedures and filing protocols.

SUPERVISORY RESPONSIBILITIES None.

QUALIFICATIONS This is a highly skilled position requiring the ability to work under strict timelines and to provide accurate procedural information. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The individual must be very organized in their approach to work and possess the ability to multitask. A successful Managing Clerk will exhibit excellent verbal and written communication skills in addition to interpersonal skills. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION AND /OR EXPERIENCE Bachelor’s degree or equivalent plus a minimum of five years’ experience in a large firm environment or Court Clerk Staff position.

LANGUAGE SKILLS Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write emails and business correspondence using correct language and style. Ability to effectively present information and respond to questions from Attorneys and clients.

MATHEMATICAL SKILLS Ability to calculate figures and apply concepts of basic business math.

TECHNICAL SKILLS Working knowledge of PC and Microsoft Office products; working knowledge of litigation database software.

AVAILABILITY REQUIREMENTS Must maintain regular and acceptable attendance at such level as is determined in the Firm’s sole discretion.

Must be regularly available and willing to work at least 7.5 hours per day, 37.5 hours per week as the Firm determines as necessary or desirable to meet its business needs.

Overtime Requirement — Must be available and willing to work such overtime per day or per week as the Firm determines is necessary or desirable to meet its business needs.

Weekend and Holiday Requirement — Must be available and willing to work such weekends and holidays as the Firm determines are necessary or desirable to meet its business needs.

Travel Requirement — Must be available and willing to travel to such locations and with such frequency as the Firm determines is necessary or desirable to meet its business needs.
