Overview
FWI is building a team to provide comprehensive event planning, logistics, coordination, and on‑site support services to the National Science Foundation's Office of Legislative and Public Affairs (OLPA). As an Events Coordinator, you will support end‑to‑end logistics for meetings, conferences, exhibits, and high‑profile engagements — managing speaker and RSVP processes, coordinating vendor and shipping partner relationships, supporting exhibit kit deployment, and providing on‑site operational support to ensure seamless execution of in‑person, hybrid, and virtual events that effectively communicate NSF’s mission. Work Schedule and Location
Hybrid: This full‑time hybrid position will work Monday through Friday, 8:30 am to 5:00 pm, at NSF headquarters in Alexandria, VA. Some telework may be allowed. Responsibilities
Coordinate speaker and RSVP management, including recommending speakers/moderators, managing invitations and registration platforms, and collecting speaker materials Organize contact information and coordinate speaker preparation activities such as briefings and dry runs Manage relationships with vendors and shipping partners Independently resolve on‑site issues with minimal involvement from NSF staff Coordinate security and venue services and provide customer‑facing support to event attendees Support exhibit kit deployment, inventory management, and on‑site setup/breakdown Support development of interactive applications for large‑format touchscreens used in exhibits Required Qualifications
Experience coordinating event logistics for in‑person, hybrid, and virtual events Experience with speaker management, including recommending speakers/moderators, managing invitations, collecting materials, and coordinating briefings and dry runs Experience managing registration platforms and RSVP processes Experience managing relationships with vendors and shipping partners Ability to independently resolve on‑site issues with minimal supervision Experience coordinating security and venue services Experience with exhibit kit deployment, setup, and breakdown Experience with inventory and materials management Knowledge of Section 508 accessibility standards Knowledge of federal agency branding guidelines Ability to travel in accordance with Federal Travel Regulations Experience providing customer‑facing support at events Must be able to travel predominantly within the Continental United States Ability to obtain a Public Trust clearance FWI is an Equal Opportunity Employer, including disability/vets.
