Administrative/Production Associate
Support Producers and Production teams in managing real estate transactions from start to finish as a Production Associate. You'll assist with deal materials preparation, managing databases, coordinating with design teams and various vendors, providing comprehensive support to producers and team members to ensure seamless transaction execution. This position offers exposure to all aspects of commercial real estate production in a fast-paced, team-oriented environment. What Your Day-To-Day Will Look Like:
Provide administrative support including typing correspondence, scheduling appointments, conference calls, reservations, organizing calendars, set itineraries, process expense reports. Assist Producers and Analysts in the preparation of marketing materials for real estate deals, including request for proposals, fee agreements, confidentiality agreements, offering memorandums, financial comparisons, due diligence data, letters, memos, reports, etc. Prepare PowerPoint presentations by pulling and inserting data from other sources such as maps, charts, logos, pictures, tables, etc. Maintain deal database; manage and update deal statuses, documents, manage press releases, marketing lists, activity tracking, and send e-mail blasts. Assist in creating customized property information materials, comparable market analysis, market and industry research and targeted client specific research. Assist in overseeing deal closing process; manage due diligence, engage and manage third party vendors, ensure proper documentation, prepare invoices. Take independent initiative to identify priorities, adjust quickly as priorities change. Respond to inquiries and provide timely information as needed. Organize and file important deal-related correspondence. Coordinate with graphic design team, work with vendors for photography and other services. Back up support for other Production Associates as needed. Must be able to work overtime. Other duties as assigned. Required Qualifications:
Minimum 1-3 years of related administrative, executive assistant, communications or similar experience High School graduate required, college degree preferred Excellent communication, organizational, grammatical, and time-management skills Ability to prioritize, multitask, and meet tight deadlines in fast-paced environment Intermediate working knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Experience using Adobe Creative Design Suite (InDesign, Illustrator, PhotoShop) a plus, not required Preferred Qualifications:
Real Estate or Finance experience preferred Commercial Real Estate experience preferred Design experience is a plus Strong problem-solving, organization, and decision-making skills Ability to work overtime on short notice and provide backup support Location: In Person daily, In Office setting (Onsite) Work Shift: Standard business hours with overtime as needed This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship. Estimated compensation for this position: 60,000.00
80,000.00 USD per year This range is an estimate and actual compensation may differ.
