Our client an Asset Manager is seeking an Executive Assistant to the Chief Investment Officer.
Executive Assistant We are seeking a highly sophisticated and experienced Executive Assistant to support the CIO within a fast-paced, high-demand environment. This role requires a proactive, detail-oriented professional who excels at managing complex logistics, anticipating needs, and operating with the utmost discretion. The Executive Assistant will serve as a critical partner to the CIO ensuring seamless day-to-day operations across both business and personal matters.
Key Responsibilities Provide high-level executive support, managing complex scheduling, travel, communications, and daily operations Oversee an ever-changing calendar with precision, proactively adjusting priorities and resolving conflicts Coordinate domestic and international travel, including detailed itineraries and real-time changes Serve as a gatekeeper, managing communication flow, prioritizing requests, and ensuring efficient use of the CIO's time Conduct research and independently resolve both routine and complex issues
Calendar & Scheduling Maintain meticulous and highly detailed calendar management, ensuring accuracy across all commitments Coordinate all meetings, including logistics, materials preparation, and follow-up communication Manage recurring meetings across multiple cadences (weekly, monthly, quarterly), ensuring alignment with all stakeholders Facilitate seamless coordination across the CIO's professional, personal, and household schedules Partner closely with the executive and driver to manage daily logistics, including schedule confirmations and real-time updates Organize and track key deliverables such as quarterly portfolio updates, maintaining both digital and physical records
Travel & Logistics Prepare comprehensive, detailed travel itineraries for the CIO and family Manage last-minute travel changes with efficiency and discretion Coordinate all logistics including transportation, accommodations, and on-the-ground arrangements
Communication & Administrative Support Manage high-volume communications, including phone coverage, call tracking, and follow-up Monitor executive email, identifying priorities and ensuring timely responses Maintain detailed tracking systems for calls, meetings, and ongoing requests Prepare and distribute meeting materials and ensure all communications are clearly documented
Operational & Project Support Compile and deliver a daily executive briefing package, including schedules, meeting materials, research, financial reports, and correspondence Oversee the organization, printing, and distribution of research and reports from multiple sources Coordinate the shipment of materials when the CIO is traveling Assist with compliance-related documentation, including personal trading and political contributions Support occasional financial processes such as wire requests and confirmations Maintain accurate directories of internal team members and key external contacts Coordinate meals, catering, and daily logistics as needed Lead and execute special projects, events, and initiatives as directed by senior leadership

Salary- $260,000-$280,000 all in including bonus
