Position Summary The Personal Assistant (PA) provides comprehensive, hands‑on oversight and execution of household operations and personal affairs across the family residences. Supporting the CEO and CEO's Wife, this role is responsible for the daily flow of property management, staff and vendor coordination, and household systems — serving as the primary point of accountability for household excellence, consistency, and discretion. The ideal candidate is self‑motivated and thrives in a fast‑paced environment, proactively anticipating needs and keeping work moving forward without prompting. They bring a natural ability to create warm, welcoming, and well‑organized spaces that feel comfortable and inviting for the family and guests, balancing a strong drive for order and accomplishment with a genuine home‑focused mindset.

Job Responsibilities Supporting the CEO’s Wife
Manage personal and family calendar, appointments, and reminders
Coordinate & schedule beauty, wellness, and medical appointments
Manage annual calendars, including recurring appointments, family events, travel seasons & key deadlines
Handle RSVPs, invitations and event logistics
Coordinate and execute Family Travel Plans
Including logistics, itinerary, timing and passenger needs
Assist with packing and unpacking to ensure preparedness
Handle local errands and time-sensitive purchases
Organize physical/digital files and home documentation (in collaboration with FOOM)
Provide daily pet care & coordinate pet care services during family travel
Assist in Organizing closets, seasonal wardrobe rotations & returns/exchanges
Assist with ordering groceries, supplies, and food inventories
Provide support for planned monthly, quarterly, and annual household organization and cleaning efforts alongside the CEO’s spouse and housekeepers
Support family events, children’s activities, and date nights
Home Management (Coordinated with CEO, the CEO’s Wife, and Family Office Ops Manager)
Executing organizational systems developed by CEO and Family Office Ops Manager (FOOM)
Maintain efficient household operations through the implementation and upkeep of home organization systems, in partnership with FOOM
Support daily home organization and conduct routine daily/weekly checklist
Review and submit all personal invoices/payables (Including ones sent home by FOOM)
Including Invoice and vendor payment processing
Schedule and manage home service appointments
Process mail, bills, and coordinate banking with accounting team
Oversee maintenance vendors, contractors, and regular property services
Oversee and coordinate household staff alongside CEO’s wife, during periods of occupancy and travel
Track and process payments to vendors; maintain records
Prepare properties for guest visits, holidays, seasonal changes & special events
Serve as primary point of contact during travel or absence
Support and coordinate on‑site technology systems in collaboration with third‑party IT providers and the Family Office Operations Manager
Proactively managing household inventory systems to ensure essential supplies are maintained and readily available
Maintain and organize household manuals, key contacts, and preferred‑vendor lists
Create annual budgets in collaboration with Family Office
Monitors spending to budget
Supporting the CEO (Coordinated with Family Office Ops Manager)
Coordinate medical appointments, prescription refills, and insurance claims
Manage in-person banking errands and financial transactions needed for the family and home, as instructed by CEO, CEO’s wife, and FOOM
Facilitate communication with 3rd party accounting team; assist with documentation and reporting
Support event planning and gift coordination for personal occasions
Maintain accurate records and files for CEO household operations
Liaise with vendors and service providers on behalf of the CEO
Act as the point of contact for personal and business insurance coverage and documentation
Track policy deadlines and due dates to ensure no lapse in insurance coverage
Track and oversee payments for policies
Position Requirements EDUCATION
Bachelor's degree or equivalent (PREFERRED)
WORK EXPERIENCE
Two years as a personal assistant (PREFERRED)
Two years in support positions (PREFERRED)

Work Hours: 8:30am-5:30pm EST (flexibility required as needed)

Comfortable interacting with onsite teams, residents, vendors, and leadership
Operationally minded and self-directed
