Vehicle Operations Support Specialist II
The Recon Admin Specialist II plays a key role in keeping retail vehicle operations on track by managing administrative processes, system updates, and critical documentation. This position supports the efficient flow of vehicles through recon, approval, and completion while ensuring accuracy, compliance, and clear communication across teams and with retail clients. What You'll Do Update and track vehicle statuses in retail and recon systems (e.g., RPP) Enter and maintain accurate vehicle data from approval through delivery-ready status Manage vehicle documentation, including plates, registration, insurance, and gate passes Coordinate with inspectors, estimators, mechanics, and lot operations to meet timelines Serve as a point of contact for retail clients on status updates and documentation Monitor units pending approval and follow up to prevent delays Support onboarding of new retail accounts and communicate workflow requirements Maintain organized records for audits, compliance, and reporting Assist leadership with reports, tracking logs, and administrative follow-ups Identify opportunities to improve processes and workflows Qualifications: Minimum A high school diploma/GED and 3 years of experience in a related field of administrative or coordination functions (or an equivalent combination of education and experience). Preferred 3 years of Auction experience or 2 - 4 years of dealership experience is strongly preferred. Previous experience in sales support role desired. Effective communication (written and verbal) and interpersonal skills are required. Ability to work in a high-performance, fast-paced team environment. Solid computer skills, including the ability to use Internet and MS Office effectively. Ability to adapt to and work effectively within a constantly changing environment. Excellent customer service and problem-solving skills are required. Ability to sit or stand for prolonged periods of time. Ability to perform repetitive tasks, and manual dexterity. Vision abilities required include close, distance, and depth perception. Work Environment: Constant exposure to outdoor weather conditions. Moderate noise level. 85% outdoors / 15% indoors (admin duties) Drug Testing To be employed in this role, you'll need to clear a pre-employment drug test.
