Development & Marketing Associate

Reporting to the Director of Fund Development & Marketing, the Development & Marketing Associate is the operational backbone of the development team. This role is responsible for keeping fundraising systems, data, and day-to-day processes organized and moving forward.

This is a hands-on, execution-heavy role: about 80% administrative and operational support, and 20% marketing and creative work. The right person is detail-oriented, reliable, and comfortable managing a high volume of tasks in a collaborative environment.

Process donations and ensure timely, accurate entry into database(s)

Generate and send acknowledgment letters and donor correspondence

Maintain donor records, files, and reporting systems

Run regular reports and build internal dashboards to track fundraising progress

Reconcile donations monthly in coordination with the Finance team

Prepare documentation for donor credits, matching gifts, and audits

Support donor stewardship efforts through list management and outreach tracking

Conduct prospect research on individuals, corporations, and foundations

Events & Project Coordination (20%)

Maintain timelines, workplans, and task tracking across fundraising campaigns and events

Manage guest lists, registrations, and data tracking for events (including the annual Gala)

Support event logistics, materials preparation, and on-site execution

Track and report volunteer participation and hours

Ensure follow-through on post-event reporting and donor follow-up

Marketing & Communications (15%)

Design and produce marketing materials for programs, events, and fundraising campaigns

Coordinate and schedule social media content across platforms (Instagram, Facebook, LinkedIn)

Prepare collateral for donor meetings, outreach, and community engagement

Other duties as assigned. (5%) Qualifications:

4-5 years of experience in development, operations, administration, or marketing support roles

Strong attention to detail and ability to manage high-volume, process-driven work

Experience with databases or CRM systems (or willingness to learn; DonorPerfect a plus)

Familiarity with project management tools (Asana, ClickUp, or similar)

Intermediate to strong proficiency in Google Workspace and Canva

Ability to prioritize, stay organized, and meet deadlines in a fast-paced environment

Strong written and verbal communication skills

Comfortable balancing routine administrative work with occasional creative projects

Positive, collaborative attitude and willingness to jump in where needed

Availability for occasional evenings and weekends (including annual Gala)

Ability to lift up to 25 pounds

Hours of Work: Full-time position, non-exempt.

Hourly Rate: $30-32 per hour

Schedule:

8 hour shift; Monday to Friday

In person role (Office is located in Alameda, CA)

Some remote work negotiable.
