Records Specialist III

Moore & Van Allen PLLC, a dynamic and fast-growing full-service law firm of more than 400 attorneys and professionals, is seeking a Records Specialist III to join its Charlotte, NC office. The role will be responsible serving as a subject matter expert in records and transport operations. The Records Specialist III leads retention/destruction, electronic records, and large-scale projects, ensuring compliance with firm policies. What you'll do: Lead retention & destruction initiatives, including preparing attorney reports, monitoring responses, and coordinating with vendors. Manage major projects like client file transfers, office cleanups, and relocations. Serve as the go-to expert for escalated physical and electronic records issues. Oversee firm-wide inventories across office files, high-density storage, and secure vault areas. Train, mentor, and provide quality control to Specialists I & II across imaging, retrieval, indexing, and transport workflows. Recommend and implement process improvements that boost efficiency and compliance. What we're looking for: High school diploma required, Associate's degree preferred. 5+ years of records management experience, preferably in a law firm. Demonstrated leadership skills

ability to train, mentor, and lead projects. Must have the ability to lift files and boxes up to 30 lbs. using a hand truck or cart. Must have a working knowledge of Microsoft Office Suite. Physical Requirements: Light/Medium Exert force 10-25 lbs., frequently; and occasionally up to 30 lbs. Prolonged standing, frequently lift, carry, push, pull, or move objects are essential to the role. Frequent standing, walking, pushing, pulling, carrying, reaching, handling, and repetitive fine motor activities. Occasionally required to bend and stoop, grasping, twisting, reaching, climbing, balancing, crawling, and kneeling. Rarely (does not exist as regular part of job) required to exert physical effort part of a normal work shift in handling objects over 30 pounds. The work requires activities occasionally involving the use of portable equipment such as carts, dollies and/or hand trucks.
