Associate Director, Data Integrity & Gift Processing
Loyola University Chicago’s Advancement Division seeks a collaborative leader committed to the highest quality of data entry and maintenance. The Associate Director of Data Integrity & Gift Processing will develop and manage university contributions, oversee policy and procedures for accurate processing, storage, and data related to contributions, and serve as a key contact within the Advancement Division and across university departments.
This position is Hybrid – 4 In‑Person. A regular presence on the Loyola University Water Tower campus is expected.
Job Summary The Associate Director works cross‑functionally with the Director, Data Integrity, and other Advancement Operations team members. Responsibilities include supervising two to three Data Integrity Analysts, ensuring quality gift entry and data integrity, and collaborating with departments such as General Accounting, Cash Management, and Office of Sponsored Program Accounting.
Duties and Responsibilities
Oversee, report on, document, train, and evolve processes for manual entry, import procedures, quality control, and adjustments of gift and event transactions.
Train and communicate complex data and systems to Data Integrity Specialists and other stakeholders.
Maintain a clear understanding of Loyola’s Gift Acceptance Policy, FASB accounting standards, CASE fundraising standards, IRS guidelines, and other higher‑education best practices.
Collaborate with the Data Integrity team to ensure correct entry of biodemographic and receipting data during gift workflows.
Supervise and mentor gift processing analysts.
Assist in the maintenance and integration of gift entry workflows, ensuring timely processing of pledges, gifts, and biodemographic changes.
Ensure all IRS donation guidelines are met, and that gift documentation and storage comply with standards.
Conduct research, resolve inquiries, and maintain accurate documentation for gift corrections.
Perform audits, monitor the Gift Corrections queue, and collaborate on efficient data entry and receipt generation workflows.
Create and update designation and accounting unit records in the CRM.
Communicate fiscal situations with division‑wide partners and campus units such as Cash Management and General Accounting.
Apply critical thinking to complex gift entry scenarios, proactively address data quality concerns, and document best practices.
Maintain detailed records of processing activities, develop training documents, and support continuous improvement efforts.
Minimum Education and Experience • Bachelor’s degree and 4–6 years of experience in database/records management, gift processing, accounting, finance, and/or advancement. Advanced degree preferred.
• Demonstrated leadership in data accuracy and process improvement.
Preferred Qualifications
Experience ensuring scrupulous accuracy in gift and bulk gift processing.
Strong prioritization, independent work, and ability to meet goals.
Knowledge of gift processing, receipting, and regulatory requirements.
Experience with CASE and related reporting standards.
Familiarity with IRS charitable gift rules.
Proficiency with Kindsight Ascend, Salesforce, DemandTools, Kindsight Connect, GiveCampus, and CVent.

Intermediate to advanced proficiency in Microsoft Office, especially Excel.
Training to advanced proficiency on Loyola’s database systems, Data Loader, LOCUS, etc.
Compensation
Maximum salary: $110,000 per annum.
Minimum salary: $95,000 per annum.
