Description Under the direction of the Senior Aquatics Director, the Swim Team Head Coach is responsible for the management, development and success of private and competitive swimming programs, its athletes, staff and volunteers including the Sea Dragon’s Swim Team, Masters Swim program, and Private Swimming Lessons. This position will actively work with swimmers, coaches and implementing strategies to develop strong, confident athletes that strive to be their best, compete at their best and who demonstrate strong character in line with our core values of Caring, Honesty, Respect and Responsibility. The Associate Director of Performance Swimming will operate programs according to these principles and maintain consistent and professional communication with parents and volunteers as well as host and attend swim meets and manage administrative tasks required for success.
Key Responsibilities
Team & Swimmer Development:
Develops and leads a quality swim team program that is inclusive and supports all athletes, staff and volunteers at all levels.
Ensures a safe and welcoming environment at all times for all athletes, parents and staff.
Develops age and skill level appropriate workouts and sets for daily practices. Sets standards for practices and goals for individual swimmers and team.
Evaluates swimmer progress, offers individual feedback, guidance and coaching towards their goals.
Acts as key liaison for the Boston YMCA Sea Dragons with other teams, organizations, swim meets, etc.
Collaborates with Senior Aquatics Director for pool times, swimmer needs, parent compliments and concerns.
Role models the YMCA core values and leads by example the work ethic, commitment and character expected from our swimmers.
Provides swim assessments and additional clinics to prospective and current athletes.
Holds swimmers accountable to standards of conduct.
Staff, Volunteer and Swim Meet Management:
Leads others by example with strong, clear and achievable expectations in both results and conduct of character.
Directly supervise paid assistant coaches and volunteer coaches. Provide development and feedback to staff and volunteer team.
Directly supervise instructors and develop private swim lesson program in accordance with YMCA of Greater Boston standards and the standards of the YMCA Swim Lesson program.
Ensures compliance with mandatory certifications, safety protocols, policies and required training for all staff and volunteers in accordance with YMCA of the USA, YMCA of Greater Boston and USA Swim requirements.
Hires, onboards and trains new staff and volunteers in accordance with YMCA best practices and guidelines.
Process accurate payroll for paid staff.
Administration:
Utilizes strong organizational and communication skills to efficiently and effectively manage a quality swim program.
Accurately manages enrollment, ensures completed registration, forms and required documentation for all participants.
Ensures billing accuracy and fulfillment. Follows up with outstanding balances to collect.
Develops and manages competitive swim and private swim budget. Meets budget goals.
Processes private swim requests, coordinates scheduling between instructors and private swim clients.
Keeps in constant communication with parents and swimmers via phone, text, email and other applicable systems.
Ensures accuracy of private swim packages, sessions conducted/remaining, staff payroll.
Manages travel and hotel arrangements for self and staff/volunteers for swim meets. Coordinates with parents and athletes on travel arrangements for swim meets.
Records athlete times in applicable systems required in a timely manner.
Manages outside partnerships. Works with executive team on contract renewals.
Manages team sponsorship(s) ensuring compliance with agreements, ease of access for athletes and parents, etc.
Plans and facilitates annual lap-a-thon fundraising event. Meet or exceed fundraising goal.
Markets programs in accordance with YMCA brand standards.
Takes an active role as part of the Burbank YMCA Leadership Team by attending team meetings, supporting branch wide initiatives, manager on duty, etc.
Plays a key role in aquatics leadership including reacting to deck/staff needs, safety quick checks, red balls, and taking a leader on duty shift where needed. Supports department needs as assigned by supervisor including providing lifeguard, swim instructor, deck supervision, etc.
Skills, Knowledge & Expertise
Education/Experience:
• Bachelor’s Degree Required.
• 3+ Years of Competitive Swim Coaching Experience Required
• Previous experience as a head coach or assistant coach preferred
• Previous experience hosting or operating swim meets preferred
• Swim Official and Lifeguard Certification a plus
Skills and Competencies:
Develop strong relationships with athletes, parents and staff by being a good listener, caring about their well-being and checking in on their progress. Takes initiative to make everyone around them feel welcome and safe.
Exceptional organizational and decision making skills.
Strong communication skills verbally (in person and over the phone) and written.
Able to multi-task.

Able to be efficient, proficient and knowledgeable in competitive swimming and coaching.
Proficient use of MS Office products, Customer Management Systems (CMS), Swim Meet Management & Swim Time recording systems.
Must be able to work flexible schedule that may include mornings, evenings, weekends and holidays.
