We are excited to share that Hyatt Regency Calgary has an opportunity to

join our Sales team as an Event Sales Coordinator.

The Event Sales Coordinator is a key member of the Catering & Events team, responsible for providing administrative and sales support to the Event Sales Managers and the Associate Director of Events. This role focuses on assisting with the sales process, coordinating event logistics, and ensuring exceptional client service to maximize revenue and ensure successful events at our luxury hotel.

What is expected of me in this role?

SALES SUPPORT:

Respond to incoming event inquiries (phone, email, online) in a timely and professional manner.

Qualify leads and gather necessary information to determine event needs and potential.

Prepare and send proposals, contracts, and other sales-related documents.

Assist Event Sales Managers in conducting site tours and client meetings.

Maintain accurate and up-to-date records of all sales activities and client interactions in the hotel's CRM system (e.g., Delphi, Opera Sales & Catering).

Assist with the creation of sales presentations and marketing materials.

Conduct market research and competitor analysis to identify new business opportunities.

EVENT COORDINATION:

Assist in the planning and execution of events, including weddings, corporate meetings, social gatherings, and other special occasions.

Coordinate with various hotel departments (e.g., banquets, culinary, housekeeping, audio-visual) to ensure seamless event execution.

Prepare and distribute event orders (BEOs) and communicate event details to relevant departments.

Manage event logistics, including room setup, catering arrangements, audio-visual requirements, and vendor coordination.

Assist with on-site event management, ensuring client satisfaction and addressing any issues that may arise.

Follow up with clients after events to gather feedback and identify opportunities for future business.

CLIENT RELATIONSHIP MANAGEMENT:

Provide exceptional customer service to all clients and guests.

Build and maintain strong relationships with clients, vendors, and internal stakeholders.

Act as a point of contact for clients, addressing their questions and concerns promptly and professionally.

Anticipate client needs and proactively offer solutions to ensure a successful event experience.

ADMINISTRATIVE TASKS:

Manage and organize event files and documentation.

Prepare reports on sales activities, event performance, and client feedback.

Assist with budget management and expense tracking.

Handle incoming and outgoing correspondence.

Perform other administrative duties as assigned.

experience & Qualifications

Minimum of 3 years of experience in event sales, catering, or hospitality.

This role will typically be a 40-hour workweek; some weekend and evening work will be required.

The minimum annual salary for this position is $56,500CAD.
