The Opportunity We are looking for a Production Coordinator for our client who works in the events and experiential space within the sports industry. In this role, you’ll be the engine behind premium brand activations, high-end hospitality programs, and large-scale live productions. If you’re a logistical mastermind who loves seeing a concept come to life on the ground, we want to talk.

Key Responsibilities

End-to-End Execution: Lead the planning and delivery of immersive brand experiences and corporate hospitality events from initial ideation to final strike.

Project Management: Support senior leadership on massive accounts while independently steering smaller, specialized projects.

Logistics & Documentation: Build and maintain the "master blueprints," including run-of-shows, production timelines, vendor trackers, and budget sheets.

Vendor Relations: Source and negotiate with venues and third-party suppliers to ensure top-tier quality and budget compliance.

Client Management: Act as a primary point of contact, developing polished decks and post-program recaps that prove ROI.

On-Site Leadership: Oversee load-in, event flow, and staff management to ensure a seamless guest experience.

Financial Oversight: Manage the "nitty-gritty" of billing, including POs, invoicing, and final project budget reconciliation.

Who You Are

Experienced: You have 3+ years in an agency or production house environment focusing on live events or experiential marketing.

Educated: You hold a Bachelor’s degree in a relevant field (Marketing, Sports Management, Communications) or have equivalent hands‑on industry experience.

Tech‑Savvy: You’re a power user of Google Workspace and MS Office (especially Excel). Experience with Asana, Smartsheet, or Adobe Creative Suite is a major plus.

A Natural Problem‑Solver: You remain calm under the "event-day pressure" and can pivot quickly when things change.

A Team Player: You’re just as comfortable brainstorming creative concepts as you are managing shipping logistics and inventory.

Physical & Travel Requirements

Willingness to travel and work a non‑traditional schedule (nights/weekends) during peak event seasons.

Ability to handle the physical demands of event production, including lifting up to 20 lbs.
