Event Coordinator

to join our Marketing team.

This is a highly visible and mission‑critical role responsible for delivering seamless, high‑impact events that reflect Makino’s premium brand experience—both domestically and globally.

Position Summary Reporting to the Director of Marketing, the Event Coordinator will play a key role in planning and executing tradeshows, corporate events, technical center experiences, and global customer engagements. This role collaborates cross‑functionally with Marketing, Sales, Product Management, Operations, Finance, and international affiliates to ensure every event is executed flawlessly.

Key Responsibilities

Plan and execute domestic and international tradeshows, including logistics such as hotel blocks, transportation, catering, booth services, and vendor coordination

Manage all booth-related logistics including graphics, displays, demo equipment, technical documentation, and marketing collateral

Coordinate shipping, tracking, setup, teardown, and storage of all event materials and assets

Maintain accurate inventory of tradeshow equipment, parts displays, and event materials

Provide on‑site event support to ensure smooth execution and immediate issue resolution

Coordinate events at Makino’s Mason Headquarters, including industry events, open houses, Lunch & Learns, and Experience Center productions

Support Auburn Hills Technical Center events such as Tech Expos and customer engagement programs

Assist with international and regional affiliate events, including customer visits and product launches

Partner with Sales, Product Management, and Technical teams to ensure readiness of machines, demos, and customer experiences

Manage event budgets, track expenses, process invoices, and reconcile final costs

Maintain a master event calendar and detailed project timelines

Deliver post‑event reporting, including attendance metrics, budget summaries, and performance insights

Create professional communications for vendors, customers, and internal stakeholders

Ensure all events align with Makino’s brand standards and deliver an exceptional customer experience

Qualifications

Minimum 2 years of experience in event coordination, tradeshow management, or corporate event planning (B2B or manufacturing environment preferred)

Strong organizational and project management skills with the ability to manage multiple priorities

Excellent written and verbal communication skills

Highly detail‑oriented with exceptional time management abilities

Proven ability to work under pressure and meet tight deadlines

Strong problem‑solving skills and professional presence

Proficiency in Microsoft Office; experience with CRM systems (Salesforce preferred)

Willingness to travel domestically and occasionally internationally

Ability to lift up to 40 lbs. and stand for extended periods during events

Education & Experience

Bachelor’s degree required (Marketing, Communications, Hospitality, Business, or related field preferred)

At least 2 years of event planning or coordination experience required

Experience supporting large‑scale events such as tradeshows, customer events, or international programs preferred

Familiarity with marketing tools, event platforms, or databases is a plus
