Role Description
This is a full-time on-site role for an Office Manager Marketing Assistant, located in Gibsonton, FL. In this role, you will support office operations, including administrative tasks, customer service, and coordinating office workflows. You will be responsible for handling office equipment, maintaining records, and ensuring smooth day-to-day operations. Additionally, you will assist with marketing tasks to support the company’s growth initiatives, such as managing communication and promotional activities.
Supports company operations by maintaining office systems and supervising staff.
Maintains office services by organizing office operations and procedures.
Manage and maintain the CRM programs (thryv) ensuring the database is up to date, enter payments, upload pics of completed installations.
Supports sales by taking leads, setting appointments and providing necessary sales tools.
Supports service department as needed for scheduling installations and service calls. Be the point of contact for the installers for questions about the project.
Maintains office efficiency by planning and implementing office systems as well as light housekeeping.
Designs and implements office policies by establishing standards and procedures.
Develop materials for home shows, presentations, sales folders and literature.
Completes operational requirements by scheduling and assigning employees; following up on work results.
Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
Maintains office staff by recruiting, selecting, orienting, and training employees.
Maintains office staff job results by coaching, counseling, and disciplining employees, and planning, monitoring, and appraising job results.
Achieves financial objectives by preparing an annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions.
Contributes to team effort by accomplishing related results as needed.
Proficient with office software
Qualifications
Strong Communication and Customer Service skills to manage client interactions and internal communications effectively.
Proficiency in Administrative Assistance and Office Administration tasks, including scheduling, organization, and maintaining efficient office workflows.
Experience in handling and managing Office Equipment and related technology is essential.
Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
Proficiency with office software, such as Microsoft Office Suite or similar, is required.
Previous experience in marketing support or understanding of basic marketing principles is a plus.
