Summary of Responsibilities The Enrollment and Marketing Associate provides personalized assistance through appointments, phone calls, and emails, ensuring each family is welcomed and supported throughout the enrollment process. This role manages the online student enrollment system, researches enrollment trends, guides families through the enrollment process, and helps craft messaging for the District’s website, social media, and family outreach materials. The role supports marketing and outreach to increase awareness of enrollment opportunities and improve family engagement across diverse communities. This position reports to the Executive Director of Communications and works with the Welcome Team (Communications Senior Specialist, District Receptionist, and Enrollment Associate).

Duties and Responsibilities

Serve as a primary contact for prospective families and assist with online registrations, walk-ins, and appointments.

Ensure all requirements are met efficiently and accurately, prioritizing equity and access for every student.

Adapt to the dynamic needs of the Welcome Center, prioritizing racial equity and support for all district families.

Partner with the Executive Director of Communications to develop and implement marketing and outreach strategies.

Research enrollment trends to inform recruitment and retention strategies for students and families.

Develop and utilize exit surveys and other tools to assess reasons why families stay or depart the district.

Monitor digital analytics to assess the effectiveness of marketing and outreach efforts and identify engagement trends.

Collaborate with district staff to ensure student enrollment is fully processed.

Support updating the website to ensure families have accurate information.

Support the annual kindergarten registration process and school sites in preparation for enrollment events.

Write short stories for the website and social media to illustrate why families should enroll.

Create and maintain a record-keeping system for tracking in/out of district enrollment and addressing disparities.

Maintain information on census areas and attendance locations of resident students; provide data to other departments as needed.

Respond to information requests from staff and the public, ensuring data practices and policies are followed.

Facilitate open enrollment processes and coordinate with other districts as needed regarding student enrollment and residency determination.

Seek strategies to continuously improve the operation of the Welcome Center to meet family needs.

Perform other duties as necessary.

Knowledge, Skills & Abilities

Strong customer service skills.

Demonstrated oral and written communication skills.

Spanish or Somali language preferred.

Ability to maintain confidentiality.

Experience working with diverse socio-economic and ethnic groups.

Experience with Beyond Diversity/Courageous Conversations.

Experience with FinalSite and PowerSchool.

Understanding of enrollment processes and procedures.

Ability to establish and maintain effective working relationships with employees, supervisors, department heads, and district administrators.

Experience with relational databases, spreadsheets, or other tools for merging, compiling, and summarizing data in reports.

Strong planning, prioritizing, and organizational skills.

Ability to work independently with minimal supervision.

Attention to detail and accuracy in data collection and entry.

PHYSICAL DEMANDS

EDUCATION and/or EXPERIENCE

High School Diploma or GED required. An Associate degree in business, communications, marketing, or related field preferred.

Minimum of three (3) years’ experience with database maintenance, customer service, or office management.

Human Resources may substitute education for related experience.

Bilingual Spanish/English or Somali/English desirable.
