Proposal Coordinator
Securitas – Global Clients Americas (GCA)
Location: Remote (United States)
Work Schedule: Full‑time, Eastern Time Zone availability required
Role Overview Securitas is seeking a motivated, detail‑oriented Proposal Coordinator to support the Global Clients Americas (GCA) proposal team. The successful candidate will be highly organized, deadline‑driven, and comfortable working in a fast‑paced, on‑demand sales environment.
The Proposal Coordinator provides tactical proposal, sales, and CRM support, assisting with bid logistics, opportunity tracking, document formatting, presentation development, and submission readiness for RFIs, RFPs, and other sales deliverables. Prior experience in the security services industry is highly desired but not required. This role requires strong organizational skills, technical proficiency with Microsoft Office tools, and the ability to pivot quickly as priorities shift in a deadline‑driven environment.
The role is fully remote, open to candidates located anywhere in the U.S., with required availability during Eastern Time business hours.
Key Responsibilities Proposal & Bid Support
Support the coordination of RFIs, RFPs, and other sales deliverables under the direction of Senior Proposal Coordinators.
Assist with proposal setup, document organization, version control, and final submission preparation.
Track assignments, due dates, and milestones to ensure all internal deadlines are met.
Monitor proposal inboxes, portals, and shared folders to ensure no critical deadlines or updates are missed.
Deadline & Workflow Management
Maintain excellent awareness of competing deadlines across multiple opportunities.
Responsively adjust priorities as new requests or changes arise.
Escalate risks, conflicts, or missing inputs to proposal leadership in a timely manner.
Organize personal workload in a highly dynamic, on‑demand environment.
Document & Presentation Formatting
Format and polish Microsoft Word proposals to ensure consistency with branding, templates, and client requirements.
Create and update PowerPoint presentations for sales pursuits, including basic visual layout, charts, and slide formatting.
Apply attention to detail for headers, footers, tables, styles, page layout, and typography.
Ensure deliverables are clean, professional, and client‑ready.
Sales & Team Support
Provide day‑to‑day administrative and logistical support to proposal and sales team members.
Assist with compiling attachments, schedules, and supporting exhibits.
Help maintain content libraries, templates, and shared files to support proposal efficiency.
Collaborate effectively with cross‑functional contributors (sales, operations, finance, legal).
CRM & Opportunity Management
Create, update, and maintain opportunity records in the CRM to support active sales pursuits.
Ensure opportunity data and revenue figures are accurate and kept current throughout the proposal lifecycle.
Close opportunities in the system as directed and support reporting requests from the sales team.
Required Qualifications Education & Experience
Bachelor’s degree preferred (Business, Communications, Marketing, English, or similar field).
0–2 years of professional experience in proposal coordination, sales support, marketing, project coordination, or a related administrative role.
Experience supporting deadlines in a professional, fast‑paced environment is strongly preferred.
Technical Skills
Strong working knowledge of Microsoft Word and PowerPoint (formatting proficiency required).
Familiarity with SharePoint, OneDrive, and Microsoft Teams.
Ability to follow templates, instructions, and brand standards precisely.
Comfort working in shared document environments with multiple contributors.
Core Competencies

Ability to pivot quickly and manage shifting priorities with minimal notice.
