The Opportunity Job Title: Construction Administrator / Construction Closeout Specialist Position Summary

We are seeking a detail-oriented and organized

Construction Closeout Specialist

to support Project Managers in the final phase of construction projects. This role is responsible for compiling, reviewing, and delivering all required closeout documentation to clients, ensuring projects are completed professionally, accurately, and in full compliance with contractual requirements.

The ideal candidate thrives in a fast-paced environment, has strong administrative and coordination skills, and understands the importance of delivering a complete and polished project closeout package.

Key Responsibilities

Coordinate with Project Managers to gather all required project closeout documentation

Compile and organize closeout packages, including:

As-built drawings

Operation & Maintenance (O&M) manuals

Warranty documentation

Training materials and records

Inspection and testing reports

Review documents for completeness, accuracy, and compliance with contract requirements

Track closeout progress and proactively follow up on outstanding items

Maintain organized digital and physical records of all project closeout materials

Assist in scheduling and documenting client training sessions

Ensure timely delivery of closeout packages to clients

Support continuous improvement of closeout processes and documentation standards

Qualifications

Associate’s or Bachelor’s degree in related field (or equivalent experience)

3+ years of experience in construction administration, project coordination, or document control preferred

Familiarity with construction documents and terminology (as-builts, submittals, RFIs, O&M manuals, etc.)

Strong organizational skills and attention to detail

Proficiency in Microsoft Office (Excel, Word, Outlook); experience with Procore Software a plus.

Excellent communication and follow-up skills

Ability to manage multiple projects and deadlines simultaneously

Detail-oriented and process-driven

Strong time management and prioritization skills

Proactive and self-motivated
