Marketing & Business Development Coordinator (Admin-Level)

Role Summary
This role supports Redwood Resources’ marketing, business development (BD), and proposal efforts. It is execution-focused: managing deliverables, building materials, tracking activity, and ensuring follow-through across multiple workstreams. The role flexes based on priorities—proposals, BD, outreach, or internal operations.
Core Responsibilities
1. Marketing & BD Support
Support business development efforts (lead tracking, outreach follow-up, meeting coordination)
Maintain and update CRM/databases (contacts, pursuits, partners)
Track BD calls, next steps, and ensure follow-through
Assist in preparing capability statements, pitch decks, and marketing materials
Scheduling, coordination
2. Proposal Support (As Needed)
Draft, edit, and format proposal content (RFP/RFQ responses, resumes, project sheets)
Review proposals for quality, formatting, and compliance
Support assembly of submission packages (Word, PDF, portals)
Maintain templates and content libraries
3. Data, Spreadsheets & Reporting
Build and maintain Excel spreadsheets, including: Pursuit trackers
Contact databases
Pricing and staffing tables
Create structured tables, summaries, and clean data outputs
Ensure data accuracy and usability for decision-making
4. Presentations & Visual Materials
Develop professional materials in PowerPoint and Canva Pitch decks | SoQs
One-pagers
Visual summaries
Ensure all materials are polished and client-ready
5. Coordination & Execution
Manage deadlines across proposals, BD, and marketing tasks
Coordinate inputs from team members and ensure deliverables are completed
Track priorities and flag risks early
Support general administrative coordination tied to marketing and BD
6. Research & Content Support
Conduct research on agencies, opportunities, and competitors
Support development of written content (case studies, summaries, outreach materials)
Synthesize information into usable formats (briefs, tables, slides)
Technical
Strong proficiency in Excel (formulas, structured tables, data organization)
Proficiency in PowerPoint and Word
Experience with Canva or similar tools for professional design
Familiarity with CRM systems (preferred)
Strong writing and editing skills
High attention to detail
Ability to manage multiple priorities and deadlines
Strong organizational and time management skills
Critical thinking and ability to synthesize information
Self-directed and reliable
Preferred Qualifications
Experience in marketing, communications, or business development support
Exposure to proposal development (public sector preferred)
Experience with consulting, engineering, or public agency environments
Familiarity with outreach, community engagement, or workforce programs
Performance Expectations
Tasks completed on time with minimal follow-up required
Deliverables are polished and client-ready
BD tracking and follow-up is consistent and reliable
Data and materials are accurate and well organized.
Shift between admin execution, marketing support, proposal work, data and presentation tasks
This is not a creative marketing role purely. Less than 10% is creative. Must have excellent excel/spreadsheet and writing skills, exceptional follow-through, and not be overly reliant on repeated direction. They must be quick learners, exceptional with outcomes.
This role is part-time $20-22 hourly; and starts Monday thru Thursday at 8:30am. No exceptions to this regular start time.
