Sales & Event Coordinator
The Skirball Cultural Center seeks a highly organized and proactive Sales & Event Coordinator to serve as the backbone of the Hospitality and Private Events team. This role acts as the department's Gatekeeper, managing all initial inquiries and providing essential administrative and logistical support. You will be the point person for internal events, simple social gatherings (such as proms and meetings), and high-touch client experiences like quarterly tastings. Additionally, you will serve as the technical lead for event compliance, specifically managing the LAFD permitting process. Reports To: Director of Hospitality and Private Events Compensation: $22.00 - $26.00 per hour Status: Full-time; Non-Exempt Schedule: The hospitality department functions six (6) days a week; scheduled days and times vary based on need. Weekend and evening flexibility is required. Key Responsibilities Lead Management & Gatekeeping: Serve as the primary point of contact for all initial event inquiries; qualify leads, respond to direct inquiries, and route high-value opportunities to the appropriate sales specialist. Event Planning & Execution: Independently manage the end-to-end planning and execution of "simple" events (e.g., proms, meetings) and all internal Skirball organizational events. Compliance & LAFD Permitting: Act as the department lead for the LAFD permitting process for all events. Responsible for producing required paperwork, technical floor plan diagrams, and ensuring all safety protocols are met. Client Tastings: Serve as the designated point person for quarterly client tastings, coordinating logistics between the sales team, the kitchen, and invited guests to ensure a premier experience. Event Collateral: Oversee the creation and placement of all menu and event signage, ensuring 100% accuracy in branding, descriptions, and dietary notations. Tours & Proposals: Conduct engaging venue tours and prepare sophisticated event and catering proposals that highlight our 60,000 sq. ft. of event space. Administrative Precision: Provide comprehensive administrative support to the H&PE team, maintaining accuracy in the CRM system for contracts, sales data, and client communications. Qualifications Experience: Minimum 2 years in hospitality sales, event catering, or coordination. Technical Skills: Proficiency in a CRM platform (Momentus/Ungerboeck preferred) and Social Tables (or similar diagramming software) is essential. Regulatory Knowledge: Familiarity with city permitting or Fire Marshal requirements is a significant advantage. Detail Orientation: Extreme attention to detail regarding signage, menus, and legal paperwork. Communication: Exceptional verbal and written skills with the ability to remain calm and professional under pressure. Preferred Qualifications Bachelor's degree in Hospitality Management or related field. Experience in high-volume catering or venue operations. Proficiency in a second language. Physical Requirements Ability to stand, sit, or walk for extended periods or an entire work shift. Ability to move, lift, carry, push, or pull objects weighing up to 50 lbs. Capability to navigate stairs, service ramps, and ladders.
