The Opportunity

The Director, Document Controls (Engineering, Projects & Quality) provides strategic and operational leadership for enterprise document control practices supporting engineering, capital projects, and quality management systems. This role ensures that technical, project, and quality documentation is accurate, compliant, traceable, and available throughout the full document lifecycle-from design and execution through turnover, operations, and retention.

The Director partners closely with Engineering, Project Management, Quality, Compliance, IT, and Operations teams to implement robust document governance that meets regulatory, contractual, and industry standards while enabling project execution excellence and risk reduction.

What you will do?

Strategic Leadership & Governance

• Develop and lead an enterprise document control strategy tailored to engineering, project execution, and quality system requirements

• Establish standards and procedures for controlled engineering documents, project records, technical submittals, drawings, specifications, and quality records

• Ensure document control practices align with project delivery models, stage gates, and quality frameworks

• Embed document control requirements into PMO stage gate processes, ensuring document completeness, accuracy, and approval at each phase

• Support project baseline integrity by ensuring all controlled documents align with approved scope, schedule, and cost baselines

Engineering & Project Document Controls

• Oversee document control processes supporting engineering design, reviews, approvals, revisions, and change management

• Ensure alignment of document controls with project schedules, deliverables, and contractual documentation requirements

• Support major capital projects and engineering programs with scalable, standardized document control models

• Partner with Project Controls, PMO, and Engineering leadership to ensure document accuracy, traceability, and on-time deliverables

• Integrate with Project Controls and Engineering leadership to ensure document accuracy, traceability, and on-time deliverables within the PMO governance framework

• Ensure traceability of document revisions and alignment with approved engineering and project changes

• Maintain consistency between current design, issued documents, and downstream deliverables

Quality & Compliance Management

• Govern quality-related documentation including procedures, work instructions, inspection records, test reports, and certifications

• Ensure compliance with applicable standards and regulations (e.g., ISO, ASME, OSHA, customer and regulatory requirements, as applicable)

• Support internal and external audits, ensuring readiness and accuracy of quality and engineering documentation

• Manage document retention, archiving, and disposition in alignment with quality and regulatory requirements

Systems & Technology Enablement

• Lead the selection, implementation, and optimization of electronic document management systems (EDMS) supporting engineering, project, and quality documentation

• Collaborate with IT to ensure secure access controls, versioning, audit trails, and integrations with engineering and project tools

• Drive automation, standardization, and data-driven improvements to document workflows

• Establish standards for document naming, metadata, and version control to ensure a consistent and reliable source of truth across systems

Operational Excellence & Continuous Improvement

• Oversee daily document control operations ensuring consistency, accuracy, and compliance across engineering and project teams

• Define and track performance metrics (KPIs) related to document quality, timeliness, and compliance

• Identify opportunities to streamline processes, reduce rework, and improve document lifecycle efficiency

People Leadership & Capability Building

• Lead, develop, and mentor document control professionals supporting engineering, project, and quality functions

• Establish clear roles, performance expectations, and training plans aligned with technical and quality requirements

• Promote a culture of quality, accountability, and continuous improvement

Stakeholder Collaboration & Training

• Serve as the primary advisor on document controls for Engineering, Projects, and Quality leadership

• Provide training and guidance to engineers, project managers, and quality personnel on document control standards and best practices

• Ensure consistent adoption of document control policies across projects and business units

Required Qualifications

• Bachelor's degree in Engineering, Information Management, Business Administration, or a related field

• 10+ years of experience in document control, records management, or information governance in engineering, project-based, or quality-regulated environments

• 5+ years of people leadership experience managing teams supporting technical or project functions

• Strong knowledge of engineering document lifecycles, quality systems, and project delivery processes

• Hands-on experience with EDMS platforms supporting engineering and project documentation

Preferred Qualifications

• Master's degree or professional certifications (e.g., PMP, ICRM, Six Sigma, ISO Lead Auditor, PE preferred but not required)

• Experience in EPC, manufacturing, energy, construction, pharmaceuticals, or similar regulated/project-based industries

• Proven change management and digital transformation leadership experience
