
Deputy Court Clerk-Courtroom #1774 - Juvenile Court Clerk

Under general supervision, provides administrative support to the Office of the Hamilton County Juvenile Court Clerk in the management of court records and electronic client case files, including assisting parties, attorneys, various local and state agencies, and magistrates with the administration and resolution of client legal matters.
Essential Functions
Performs independent legal support services for users of the Juvenile Court. Creates and maintains records in the fully digitized case file data management system and digital images to ensure accuracy of the legal record in database format.
Schedules cases for hearing on electronic court calendar, issues necessary legal process, and updates rule docket recording system accordingly.
Answers complex questions and assists users in person, in writing, and telephonically. Conducts research into the legal record and within associated sources, including other database systems, to provide necessary information and documentation.
Works closely with other state and local agencies to coordinate services and assist users of the court with their proceedings.
Performs other duties as assigned.
Reviews each case set on the court’s docket and prepares the judge/magistrates for hearing.
Assists the judge/magistrates in the courtroom during hearings. Creates audio recordings of each hearing and documents required information in recording software.
Appoints legal counsel to indigent parties, communicating with and scheduling attorneys for hearings.
Drafts court orders reflecting the judgment rendered during the hearing and documents the ruling in the case management database. Ensures accuracy of orders submitted by legal counsel.
Scans all court orders and related pleadings submitted in court into the digital image database. Drafts legal documents as directed by the judicial officer.
Knowledge of applicable State of Tennessee statutes, rules, administrative orders, local policies and procedures, and Federal rules and regulations.
Knowledge of legal terminology and the forms and documents used in legal administrative work.
Knowledge of legal procedures and practices involved in processing and filing a variety of legal documents.
Knowledge of standard legal references and their contents.
Strong understanding of modern office procedures, methods, and computer equipment, including database management and document scanning.
Knowledge of the principles and practices of record keeping, bookkeeping, case-flow management, and office operations.
Knowledge of laws relating to juveniles and child support is preferred.
Skill in establishing and maintaining effective working relationships.
Skill communicating in both oral and written form.
Skill in Microsoft Office software, including but not limited to Word, Excel, and Outlook.
Ability to work independently.
Qualifications
A Bachelor’s Degree in Social Work, Criminal Justice, or a related field and a valid driver’s license.
Or an Associate’s Degree in Social Work, Criminal Justice, or a related field and two (2) years of direct work experience in case management, as a paralegal, as a legal secretary, or in a related field, plus a valid driver’s license.
Or the equivalent of a high school diploma and four (4) years of direct work experience in case management, as a paralegal, as a legal secretary, or in a related field, plus a valid driver’s license.
Must type a minimum of at least 40 words per minute. A typing test may be required.
Additional Requirements
Must be available to work overtime as required.
Must be able to qualify to serve as a Notary Public.
Prior to operating a county-owned vehicle, all employees are required to complete the HC Defensive Driving Course and/or an Emergency Vehicle Operations Course (EVOC) provided at the department level.
Preferred Qualifications
Fluency in English, Spanish, and/or another language.
Work experience and/or familiarity with AI.
Physical Requirements
Work requires limited physical effort and primarily involves extended sitting, intermittent standing, intermittent walking, and extensive typing/computer keyboarding.
This position requires occasional lifting and carrying of up to fifteen (15) pounds.
