Prestigious private equity firm is seeking a Director of Administration to oversee and manage the firm’s administrative operations, with a primary focus on leading and developing a team of seven Executive Assistants who provide high-level support to the firm’s executives and investment professionals. Key Responsibilities
Leadership & Team Management Directly manage, mentor, and evaluate a team of 8 Executive Assistants supporting senior executives and investment teams. Establish clear performance expectations, provide professional development opportunities, and foster a collaborative, high-performance culture. Conduct regular team meetings to ensure alignment and consistent communication.
Operational Oversight Standardize administrative processes, procedures, and best practices across the EA team to ensure efficiency and consistency. Oversee executive scheduling, travel coordination, meeting preparation, and event logistics across the firm. Partner with IT, HR, and Facilities to resolve operational issues and support firm-wide initiatives.
Executive Support Strategy Serve as a strategic thought partner to the COO and senior leadership on optimizing executive support. Anticipate the evolving needs of executives and proactively adapt team structures and workflows. Step in to provide high-level executive support when needed.
Culture & Communication Promote a service-oriented, solutions-driven mindset within the EA team. Uphold strict confidentiality and discretion in handling sensitive information. Serve as a role model for professionalism, adaptability, and firm values.
Qualifications 10+ years of progressive administrative/operations experience, with at least 3 years in a leadership role. Prior experience in private equity, investment management, financial services, or professional services highly preferred.
