Position Overview We are seeking a polished, detail-oriented

Seasonal Event Coordinator

to support our team during peak event season from May through October. This role is integral to delivering the high-touch experience our clients expect. Working closely with our Events Team, this individual will provide critical administrative and logistical support to ensure every event is executed with precision, professionalism, and care. This is an ideal opportunity for someone looking to build experience in a fast-paced, high-end events environment while being part of a collaborative and service-driven team. Key Responsibilities: Event & Client Support Serve as a responsive and professional point of contact for incoming event inquiries Support client communication and ensure a seamless experience throughout the planning process Assist in preparing proposals, event documentation, and internal planning materials Event Logistics & Coordination Support the planning and execution of weddings and events as directed by the Marketing and Events Manager Assist with developing timelines, event orders, and operational plans Coordinate with vendors and internal teams to ensure alignment leading up to events Compliance & Detail Management Gather, track, and maintain Certificates of Insurance (COIs) for all booked events Ensure all required documentation is completed accurately and on time Maintain organized and up-to-date event files across systems On-Site Execution Provide on-site support for events, including setup, execution, and breakdown Act as a liaison between vendors, clients, and internal teams to ensure seamless delivery Uphold brand standards by ensuring spaces are presented with a high level of detail and care Operational Support Provide day-to-day administrative support to the events team Assist with inventory, materials, and event supplies Support additional initiatives that enhance the overall client and guest experience Qualifications 1–2 years of experience in events, hospitality, or a related field preferred Strong organizational skills with exceptional attention to detail Ability to manage multiple priorities in a fast-paced, high-volume environment Professional communication skills and a client-first mindset Proficiency in Microsoft Office; experience with event software (e.g., Tripleseat) is a plus Availability to work evenings and weekends as required during peak season What We’re Looking For A proactive, solutions-oriented team player Someone who takes pride in delivering exceptional experiences A strong sense of ownership and accountability A polished, hospitality-driven presence The ability to anticipate needs and execute with excellence Why Join The Experience Group Be part of a team redefining how spaces are experienced Gain hands-on exposure to high-impact weddings and events Work in a creative, collaborative, and fast-paced environment Opportunity to grow within a company that values innovation and elevated service Equal Opportunity Employer: We are an equal opportunity employer and committed to diversity, equity, and inclusion in the workplace. xywuqvp All qualified applicants will receive consideration for employment without regard to race, color, religion, gender, gender identity or expression, sexual orientation, national origin, genetics, disability, age, or veteran status.
