Duties / Responsibilities

Oversee the planning, coordination, and on-site management of auxiliary events and outside rentals, including sporting events, hospitality functions, tours, banquets, meetings, and other special events. Serve as the primary point of contact for external clients and internal stakeholders, ensuring a high-quality event experience from initial inquiry through event execution and closeout. Manage the event rental database, including scheduling, availability tracking, and documentation. Prepare, review, and administer rental contracts to ensure compliance with institutional policies, insurance guidelines, and financial obligations. Coordinate event logistics such as staffing, facility setup and breakdown, equipment needs, and vendor access. Collaborate with facilities, operations, security, parking, and custodial staff to ensure safe, efficient, and successful events. Assist with post‑event evaluations, invoicing, and reporting, and support day‑to‑day office and administrative duties related to auxiliary event operations.

Position Summary

This position is responsible for managing and supporting auxiliary events and outside rentals that generate revenue and maximize facility utilization beyond traditional athletic use. Responsibilities include, but are not limited to: coordinating and executing sporting and non-sporting rental events; serving as the primary liaison for clients hosting hospitality events, tours, banquets, meetings, and special events; managing the event rental database and calendar; preparing and administering rental contracts and ensuring adherence to contractual, financial, and risk management guidelines; and providing on-site event oversight. The role works closely with internal departments to coordinate staffing, facility setup and breakdown, and operational support, while maintaining a strong focus on customer service, operational efficiency, and institutional standards. Additional responsibilities include assisting with reporting, documentation, and other administrative duties that support auxiliary event and facility operations.
