Position Overview We are seeking a highly organized, friendly, and technically savvy Assistant Property Manager to join our Columbus office (Dublin, OH). In this exempt position, you will address and resolve tenant issues and complaints, oversee necessary construction, and make recommendations to our Asset Management team. You'll make decisions with a clear understanding of company policies, procedures, and all applicable State and Federal regulatory and compliance requirements.
As an Assistant Property Manager, you will be responsible for tenant and vendor communications, work order management, financial oversight, compliance, and contributing to the overall success of our properties. This role offers competitive pay and comprehensive benefits for the right candidate.
Job Responsibilities (including, but are not limited to the below) Tenant and Vendor Relationships
Manage tenant and vendor relationships and serve as a primary point of contact
Address tenant inquiries and conduct regular on-site tenant visits
Manage preventative maintenance contracts for HVAC per tenant leases through Ravti/Building Engines
Enter tenant service requests into Facility Manager and track them through to timely completion and work order closeout
Maintain updated tenant and vendor contact lists
Write and communicate vendor work schedules
Complete tenant move-ins and move-outs with all applicable documentation
Send 60 and 30-day move-out procedure letters
Show vacant spaces as needed
Manage utility turn-on and turn-off notices to providers
Construction and Capital Projects
Manage the workflow of construction and capital projects, ensuring completion within scope, budget, and alignment with portfolio strategic plans
Partner with construction management to review, document, and disposition all vendor bids appropriately
Perform property and vacancy inspections with timely and accurate completion
Finances and Reporting
Manage assigned properties' financial duties, including independent invoice review, processing, and timely payment
Diagnose and resolve past-due invoices while collaborating with corporate resources on payables issues
Process and approve expenditures accurately and on schedule
Direct the rent collection process, ensuring timely payment, posting, and Yardi system updates
Identify past-due tenants and work to collect outstanding balances through negotiation and payment plans
Document all collection efforts and results in applicable systems
Assist with annual budget preparation in collaboration with property management, corporate resources, and senior leadership
Reconcile, prepare, and execute monthly reports with the property management team
Prepare accruals for assigned properties
Prepare OpEx bi-weekly reports on assigned properties with minimal oversight
Prepare monthly financial variance reporting with documented commentary on budget variances
Compliance and Legal
Review vendor contracts with judgment and discretion, collaborating with property management and corporate resources to ensure acceptable terms and conditions
Execute contracts while ensuring all terms and conditions are properly documented
Track and manage tenant and vendor Certificates of Insurance to ensure full compliance with all executed projects
Ensure a safe work environment for tenants and vendors
Review, execute, and process legal tenant documents and lease-related correspondence from corporate templates, including lease documents and rent commencement agreements
Additional Responsibilities
Perform miscellaneous job-related duties as assigned or required
Essential Qualifications & Competencies
Bachelor's degree from a four-year college or university in Business, Communications, or related field with 3+ years of related experience; OR equivalent combination of education and experience
Proficiency with Microsoft Suite (Calendar, Outlook, Word, Excel, Teams, etc.)
Ability to identify and resolve problems in a timely manner; gather and analyze information skillfully; develop alternative solutions
Strong customer focus with ability to establish tenant service standards and own the tenant experience
Proven track record of accuracy and thoroughness; demonstrates commitment to quality improvement and applies feedback to enhance performance
Effective written and oral communication skills
Experience with Yardi preferred but not essential
Experience in commercial real estate preferred
