Position Summary The Benefits Manager & Total Rewards Manager is responsible for the strategic administration and operational leadership of Milan’s employee benefits programs. This role manages the design, delivery, and continuous improvement of health, welfare, and retirement benefits for a multi‑site workforce of approximately 2,000 employees. The Benefits Manager partners with brokers, vendors, and internal stakeholders to ensure high‑quality service delivery, cost‑effective program management, and a positive employee experience. This position leads key initiatives including annual open enrollment, vendor performance management, and benefits‑related system optimization in partnership with HRIS and payroll teams. The Benefits Manager also identifies opportunities to enhance benefits programs through data analysis, market benchmarking, and industry best practices.

The role provides leadership to a Senior Total Rewards Analyst responsible for benefits and open enrollment execution, compensation intake and analysis and ensuring strong operational coordination across total rewards programs while partnering closely with HR leadership on broader total rewards initiatives.

Benefits Program Strategy & Design

Lead the administration and ongoing evaluation of the company’s health & retirement benefit programs

Analyze utilization trends, market benchmarks and employee needs to recommend enhancements to plan design, cost management strategies and employee experience

Vendor Management

Manage relationships with external benefits vendors & brokers. Monitor performance, service levels, and contractual obligations while identifying opportunities to improve service delivery, cost efficient and employee support

Open Enrollment Leadership

Lead the planning and execution of the annual open enrollment process, including project management, vendor coordination, employee communications, system configuration, and post‑enrollment reconciliation

HRIS & Benefits Operations

Partner with HRIS and Payroll teams to ensure accurate benefits administration within HR Systems. Identify and resolve eligibility, deduction and file feed issues while improving processes and system efficiencies

Team Leadership

Provider leadership and direction to the Sr. TR Analyst

Ensure alignment of total rewards operations and data integrity across benefits and compensation programs

Compliance & Risk Management

Ensure compliance with applicable federal, state and location regulations including ERISA, ACA, COBRA and external vendors to maintain compliant plan administration.

Qualifications

Bachelor’s degree in human resources, business administration, finance, or related field required

Minimum of five years of progressively responsible experience with employee benefit programs and plan design (ERISA, ACA, COBRA, FMLA, HIPAA) in both health/welfare and retirement plans required

Advanced proficiency in Google Sheets or MS Excel (e.g., lookups, complex IF statements, pivot tables, etc.) required

Hands‑on regulatory and compliance expertise, including ACA reporting, validation of Form 5500 filings, and non‑discrimination testing required

Proven project management skills to plan, coordinate, and deliver total rewards initiatives (e.g., open enrollment, system implementations, etc.), including vendor and broker escalations required

Experience partnering with Payroll on year‑end true‑up processes and contribution reconciliations required

Skill in handling escalated and sensitive benefits situations required

Demonstrated work experience with HRIS systems required. Experience with Paycom preferred.

Strong analytical skills and ability to interpret data and trends required

Familiarity with federal, state, and local regulations regarding benefits required

Excellent verbal and written communication skills for documentation, reporting, vendor evaluation, and employee communications required

High level of confidentiality and integrity required

Flexibility to adapt to changing priorities in a fast‑paced environment required

Willingness to stay informed on total rewards trends and best practices required

SHRM-CP or PHR certification preferred
