
Alumni Engagement Coordinator

Overview
The Alumni Engagement Coordinator supports the work of the Advancement Office through organizing communications, events, and opportunities for alumni to engage with the Baylor community and with each other.
Responsibilities
Establish, organize, and plan all local events for alumni (including athletic affinity events, Gingerbread House decoration, tailgates, young alumni gatherings, Alumni Zone at home football games).
Oversee planning and organization of Baylor’s Alumni and Reunion Weekend each fall, working closely with the Director of Events and Director of Alumni Engagement.
Collaborate with Director of Alumni Engagement to plan and strategize for annual goals and alumni engagement events.
Data Administration to include:
Baylor Connects Alumni Web Platform
Serve as system administrator and manage events/registration processes and form administrative needs.
Approve new users, merge duplicate records and troubleshoot on‑going issues.
Work closely with Associate Director of Advancement Services to reconcile alumni records with RE database.
Pull reports and filter lists from Baylor Connects for events, emails, obituary notices, etc.
Manage email communication from Baylor Connects platform to alumni re: obituary notifications, special events, alumni news and updates, and general alumni weekend communications.
Manage the News & Updates platform pages, updates of data throughout platform.
Prepare name tags for alumni events and coordination registration needs.
Collaborate with the Baylor set up team/D1 Services, director of events, dining hall and other campus administration for alumni events.
Coordinate with Director of Alumni Engagement to order alumni swag, giveaways, and awards.
Assist Annual Giving Office with alumni giving through phonathons and reunion giving.
Oversee the STAT Club (Students Today, Alumni Tomorrow) and engage members in alumni and development activities.
Plan and coordinate any necessary postal mail communications to alumni. Coordinate timing of communication and content with Director of Alumni Engagement. Work with graphic design team for branding standards.
Collect alumni news and notes and promote alumni achievement and highlights through communications office and social media alumni pages.
Track alumni special updates through forms and email notifications and mailings to include:
New Babies
Wedding Announcements
Employment Updates
Class Notes
General Contact Updates
Prepare mailings to send wedding/baby gifts to alumni
Assist Baylor Pathways coordinators with the identification/connection of potential alumni career mentors for students/grads. Work in collaboration with the Director of Alumni Engagement.
Qualifications
Bachelor’s degree
Preferably an alumnus/a of Baylor School
Experience planning and executing events
Ability to multi‑task with strong attention to detail and strong analytical skills
Ability to establish and maintain good working relationships with colleagues and alumni
Robust written, oral, and interpersonal communication skills
Proficient in navigation and manipulation of all facets of Microsoft Office (Word, Excel, PowerPoint)
Experience creating content for social media and using social media software and graphic design software such as CANVA, or similar suites
Preference for experience with Advancement software such as Blackbaud/NXT Raisers Edge or similar CRM system
Qualified candidates will be given a computer skills proficiency test during the interview process to assess basic computer software requirements for the role
