The Proposal Coordinator supports the proposal function through data management, content library maintenance, and operational coordination. This role is responsible for maintaining accurate opportunity and proposal data, managing tracking systems, organizing electronic files, and ensuring proposal‑related information is current, accessible, and aligned with firm standards.
The Proposal Coordinator uses Adobe InDesign to maintain and update staff resumes and project descriptions within the firm’s content library. This position does not own proposal strategy, compliance review, or final submission responsibilities.
Requirements
Bachelor’s Degree required
5+ years of professional or administrative experience; experience in marketing support, proposals, or the A/E/C industry preferred
Proficiency in Adobe InDesign required (specifically for maintaining resumes and project descriptions)
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Experience with Salesforce preferred
Strong organizational and data management skills
High attention to detail and accuracy
Ability to manage multiple priorities and meet deadlines
Strong written communication and proofreading skills
Ability to work both independently and collaboratively
Ability to handle constructive feedback and adapt to changing priorities
Comfortable working in a deadline‑driven environment
Responsibilities and Duties
Set up new opportunities in Salesforce by reviewing RFPs and extracting key requirements, deadlines, and compliance information for accurate tracking and reporting
Monitor websites and other sources for active solicitations for amendments, addenda, and updates at least twice daily; notify Proposal Managers of changes and update internal tracking systems accordingly
Maintain organized electronic file structures for the firm’s content library, including staff resumes, project descriptions, past performance information, and boilerplate content
Develop and format new hire resumes using established Procon templates; ensure consistency with firm branding, messaging, and positioning standards
Track employee education and certifications within the Salesforce database and maintain data accuracy
Monitor data accuracy and completeness within Salesforce and internal tracking systems; identify discrepancies and coordinate updates as needed
Coordinate with technical staff to gather updated project information to maintain current project descriptions and database records
Assist Proposal Managers in retrieving and organizing archived data and reference materials for active proposals
Provide coordination and production support to Proposal Managers, including formatting resumes, gathering project‑related information, and assisting with final production and shipment of proposal materials
Perform other related duties as required
