This position provides skilled administrative support by processing and coordinating the Town of Herndon’s Police Department Freedom of Information Act (FOIA) requests. Responsibilities include reviewing and processing requests for information submitted under FOIA and determining if the requested information can be released, identifying any confidential data that needs redaction, and ultimately preparing a response to the requester, while adhering to FOIA regulations and deadlines. Work requires constant attention to detail and deadlines, along with the use of initiative, independent judgment and discretion when handling delicate and frequently confidential matters. The position is primarily based at the Herndon Police Department, with one day per week spent in the Town Attorney’s Office.
Duties and Responsibilities
Serves as FOIA Official for the Police Department and provides coverage for town FOIA Officer as needed.
Responsible for responding to and completing records requests as required under the Virginia Freedom of Information Act (FOIA) for the town’s Police Department.
Conducts searches and research for records, documents and various forms of media, including police body worn camera footage, requested under the Virginia Freedom of Information Act requests.
Conducts and processes interagency requests for records.
Redacts sensitive and protected information in compliance with the Virginia Freedom of Information Act utilizing various computer software.
Assists with administrative work as required.
Manages public records and retention schedules pursuant to the Library of Virginia Records Retention and Disposition Schedule.
Performs other duties as required.
Knowledge, Skills and Abilities Required
Proven ability to thrive in fast‑paced, demanding environments while meeting strict deadlines with exceptional attention to detail, organization and accuracy.
Uphold strict confidentiality.
Strong computer skills, including but not limited to Microsoft Office Suite, as well as the ability to operate other computerized programs, with focus on details for entering data.
Ability to perform with initiative and independent judgement and is accountable for adherence to instructions and established procedures.
Manage interactions with the public, including upset or distressed individuals, professionally and tactfully, while maintaining a high degree of discretion.
Ability to process sometimes graphic and highly sensitive material.
Requirements
High school diploma or GED is required.
Supplemented by minimum three years’ experience involving local government legal administrative support or records maintenance.
Ability to obtain Virginia Criminal Information Network (VCIN) and National Crime Information Center (NCIC) certifications within 30 days of employment.
Complete Virginia Freedom of Information Act training within 30 days of employment.
Proficient in Microsoft and Adobe products.
Valid driver’s license with acceptable record.
