
Marketing & Operations Specialist (La Jolla)

We are seeking a high-caliber Marketing & Operations Specialist to join our team in La Jolla. This is a unique hybrid role designed for a professional who excels at the intersection of digital/traditional marketing, financial administration, and executive support. You will serve as the strategic right hand to the Executive, ensuring that campaigns, budgets, and logistical operations are executed with precision.
Key Responsibilities
Campaign Oversight: Coordinate and track the performance of multi-channel campaigns, including Digital, Social Media, and TV/Traditional media.
Data & Analytics: Utilize advanced Excel skills (including Pivot Tables and data modeling) to analyze campaign performance and provide actionable insights for decision-making.
2. Administrative & Financial Operations
Contracts & Negotiations: Manage vendor relationships, negotiate commercial terms, and ensure all marketing contracts are legally and operationally sound.
Payment Reconciliations: Perform detailed financial reconciliations of marketing budgets and vendor payments to ensure total transparency and fiscal responsibility.
3. Executive Assistance & Global Logistics
Director Support: Provide comprehensive administrative assistance to the Marketing Director, managing high-priority scheduling and strategic communications.
Travel Management: Lead the end-to-end planning of marketing summits and meetings, including flight bookings, hotel accommodations, and itinerary management.
Travel Requirements: Availability to travel to Mexico City (CDMX) approximately 5 times per year for corporate strategy sessions and project oversight.
Qualifications & Skills
Experience: 3–5+ years in Marketing Administration, Project Management, or Executive Assistance within a corporate or agency environment.
Technical Mastery: Advanced proficiency in Microsoft Excel (Pivot tables, VLOOKUPs, and data visualization) is mandatory.
Media Knowledge: Familiarity with the lifecycle of both digital and TV advertising campaigns.
Languages: Bilingual (English/Spanish) is preferred, as this role bridges the gap between our La Jolla office and our Mexico-based operations.
Competencies: Strong negotiation skills, exceptional attention to detail, and the ability to handle sensitive information with absolute discretion.
