
Marketing Event Coordinator

The Event Marketing Coordinator at Mariano Events leads the strategic planning, execution, and performance optimization of in-store sampling and retail activation programs across key grocery banners nationwide. This role bridges brand strategy, retail compliance, field ambassador execution, and Sampling Intelligence reporting to ensure every activation drives measurable impact. This position reports directly to senior leadership and works cross-functionally with operations, marketing, analytics, and field teams. This position is on-site in our Rochester, NY office.
Core Responsibilities Campaign Coordination & Execution
Assist in planning and scheduling in-store demo programs
Coordinate with operations on demo kit shipments and materials
Ensure retailer compliance requirements are followed
Monitor program timelines and flag issues proactively
Help confirm staffing for activations
Ensure ambassadors complete recaps, photos, and store sign-offs
Review event reports for accuracy and completeness
Client & Communication Support
Join client calls and take notes/action items
Provide campaign updates and recap summaries
Support post-event reporting preparation
Performance Tracking
Help track demo performance and recap data
Support dashboard updates and reporting tools
Identify basic trends in engagement and shopper feedback
Assist in building training materials or campaign decks
Continuously learn retailer guidelines and industry trends
Key Qualifications
Strong organizational and project management skills with the ability to manage multiple campaigns simultaneously
Excellent communication skills, both written and verbal, with a client-facing mindset
Detail-oriented with a focus on executional excellence and compliance
Ability to analyze data and translate insights into actionable recommendations
Proficiency in tools such as Excel, PowerPoint, and project management platforms (e.g., Monday.com); experience with reporting tools like Power BI is a plus
Self-starter with a proactive, solutions-oriented approach
Ability to thrive in a fast-paced, high-growth environment
Additional Requirements
Willingness to work flexible hours as needed to support live activations and client needs
Ability to travel occasionally for field visits, trainings, or key retail programs
Passion for food, beverage, and in-store customer experience
Education & Experience Requirements
Bachelor’s degree in Marketing, Business, Communications, or a related field preferred
2–4 years of experience in event marketing, experiential marketing, retail activation, or CPG environments
Experience working with grocery or retail environments (e.g., Whole Foods, Sprouts, Kroger, etc.) is strongly preferred
Familiarity with field team management, staffing coordination, or ambassador programs is a plus
