Proposal Specialist Reports to:

Chief Marketing & Strategy Officer

Position Summary The Proposal Specialist supports firmwide marketing and business development by leading proposal efforts, managing marketing resources, strengthening brand presence, and equipping technical staff with marketing best practices. This role drives the full pursuit lifecycle—from opportunity tracking through final submission and client debriefs—while supporting strategic initiatives, internal events, and external visibility.

Key Responsibilities Proposal & Pursuit Management

Lead development of proposals, SOQs, interview materials, and presentation content.

Facilitate pursuit strategy, kickoff meetings, teaming coordination, and submission compliance.

Conduct client debriefs and capture lessons learned to improve future pursuits.

Coordinate with technical staff for content development, storytelling, and presentation preparation.

Marketing & Business Development Support

Partner with BD and Market Sector leaders to identify teaming and pursuit opportunities.

Manage the Go/No-Go process and monitor procurement portals for upcoming opportunities.

Maintain CRM/Deltek databases, marketing content libraries, resumes, and project sheets.

Support external visibility through industry involvement, social media, photography, and branding.

Internal Communications & Events

Plan and execute internal events that strengthen culture and employee engagement.

Assist with internal communications, messaging, and brand consistency across materials.

Training & Resource Management

Train technical staff on proposal writing, interview skills, and marketing best practices.

Maintain templates, style guides, and standard marketing tools for firmwide use.

Qualifications

Bachelor's degree;

8+ years

of AEC or professional services marketing experience recommended.

Strong graphic design and visual layout skills; proficiency in

InDesign ,

Microsoft Office , and

Deltek

(or similar CRM/asset management tools).

Solid understanding of AEC marketing, proposal development, SOQ production, Go/No-Go processes, and BD workflows.

Experience producing both digital and print-ready marketing materials.

Excellent writing, editing, organization, and deadline management skills.
