Assistant Director for Housing and Residence Life
This posting is for a full-time, 12-month, exempt position. The Assistant Director for Housing and Residence Life is responsible for assisting the Director of Housing and Residence Life and the Associate Vice President for Student Life in the administration and management of all Housing and Residence Life functions including but not limited to mentoring and training student staff members, housing students, monitoring facility conditions, planning renovations, marketing housing options to increase retention, maintaining housing web pages, assisting with the direct and indirect supervision of the undergraduate/graduate Resident Director and Resident Assistant staffs, directing programming efforts in campus living units, and assisting with leading Residence Life staff selection and training. The person holding this position is required to live in an assigned University house and participate in the meal program to carry out the duties associated with this position. This is a twelve-month, exempt position which includes a competitive salary, benefits, board, and residency in a University-owned house. Essential Functions This position requires regular, predictable, reliable attendance in the office environment. Staff Interaction 1. Communicate with and appropriately mentor Resident Directors and Resident Assistants to ensure that student staff members have a full and complete understanding of Housing and Residence Life responsibilities and expectations. Focus on team building to create and maintain a cohesive and motivated student staff. Foster positive relationships with RAs, RDs, and our Graduate Assistant. Complete a comprehensive review of the position expectations with each staff member as needed. In situations where expectations are not met, utilize the Staff Accountability System to hold staff members accountable. Oversee the tracking of Accountability Points within the Staff Accountability System, as well as the remediation of points. Keep the Director of Housing and Residence Life informed of student staffing concerns. 2. Assist with the design and facilitation of Resident Director and Resident Assistant selection, training, and evaluation processes. Focus on selecting the right candidates to help build a cohesive staff to lead our students. Create a system to promote the positions to students and recruit potential staff members. Update the applications and selection process timelines, review all applicant materials, finalize staff selection, and extend offer letters. After the selection of staff members has concluded, create training schedules and coordinate with guest presenters, prepare and deliver departmental training materials, define and outline student staff expectations. Each semester, facilitate the supervisor and peer evaluation process for student staff by collecting and compiling feedback, removing identifying information from the feedback for distribution to student staff, and ensuring that each staff member has the opportunity to participate in the evaluation process. 3. Oversee the planning of the monthly Resident Director and All-Staff meetings in collaboration with the Director of Housing and Residence Life and the Resident Directors. Lead all or part of the meetings as appropriate to provide updates, information, guidance, and feedback to the student staff members; as well as to collect feedback from the student staff to the department for consideration. 4. Coordinate and oversee the Resident Assistant and Resident Director duty schedules, including the break duty schedules and associated meal stipends for staff members who volunteer for all university breaks each semester. 5. Maintain personnel files for Resident Directors and Resident Assistants. 6. Meet regularly and individually with Resident Directors and Resident Assistants to assess performance and provide feedback and guidance. Role Modeling 1. Administer all Housing and Residence Life policies and procedures. As a member of the department, take part in the annual review of all policies and procedures and propose updates, additions, and changes as needed to meet the needs of the student population. 2. Administer all meal plan policies and procedures, including ensuring that all students are on the appropriate meal plans according to UF policy, assist students with meal plan selection, changes, and cancellations. Maintain communication with UF's Sodexo Office regarding meal plan options and availability to students, as well as ongoing changes throughout the academic year. Order meals for all student staff training. 3. Serve in the Administrator On Call (AOD) rotation as required and respond to after-hours emergency situations such as emergent building/facility failures, emergency relocation of students, medical or mental health situations requiring transport of students, other emergency situations that may require the activation of the university Emergency Operations Team. During such situations, serve as the university official on scene and provide front-line guidance and support to other staff members, interpret and enforce university policy and procedure, speak with members of media as needed, coordinate with internal and external stakeholders, and relay information to other administrators as appropriate. 4. Maintain ongoing communication and collaboration with the Director of Housing and Residence Life to ensure appropriate information sharing, proper planning for training sessions and meetings, better service to students and other stakeholders, and timely follow-up on issues that may impact both housing and residence life. 5. Prepare all manuals, forms, and reports needed in relation to the Housing and Residence Life functions and assist in the creation of the Housing and Residence Life staff manuals and distribution to RAs/RDs and staff offices. Create the annual staff manual for the Housing and Residence Life Staff to provide updated information and guidance for all graduate and undergraduate staff members. Provide a copy of the completed manual to each staff member and oversee the use and interpretation of the manual during the staff training process. Conduct an annual review and update of all administrative forms used by the Housing and Residence Life Office, including but not limited to, the Room Change Form, Budget Tracking Form, Co-Program Form, Housing Appeal Form, Check out envelopes. 6. Oversee and manage the use of the Residence Life Staff page within Canvas, the university's learning management system. Ensure that all Student Staff members have access to the page, and that all necessary materials are accurate and up to date. Add information to the site as needed, and supervise the release of materials to the appropriate staffing levels. Remove staff members' access to the site as the individuals leave their positions, and add all new staff members. Organize all materials in a logical manner in order to make sure that staff members have access to them as needed. 7. Maintain an annual calendar that cites all administrative responsibilities, events, and deadlines that apply to the Housing and Residence Life area. Evaluate each year to make sure that all departmental functions are represented, and that the department is conducting business in the most appropriate and functional manner. Identify changes that could be made to streamline or otherwise improve departmental functions. Provide the updated calendar to all levels of Housing and Residence Life Staff. 8. Assists with the coordination of all essential administrative functions associated with the housing of students (e.g. floor plan verification, occupancy/other housing reports, room sign up, room assignments, room changes, key control, electronic access control, housing agreements, check-in, check-out, off campus approval applications, early arrivals, washer/dryer inventory and maintenance, Student Affairs records, etc). 9. Provide the Business Office with information needed to ensure the proper billing of students for housing, board, damages, and fines. Including the information needed for proper billing of Resident Assistants and Resident Directors, and updating that information to reflect all staffing changes made throughout the academic year. 10. Assist the Director of Housing and Residence Life in compiling a comprehensive list each academic year for maintenance and improvement projects so plans for the upcoming summer can be completed in a timely manner. 11. Assist with the monitoring of all renovations of campus living areas. Inspect on a regular basis each on-campus housing facility to ensure environmental and safety standards are maintained. 12. Assist with preparing annual operating budgets as requested. 13. Create and implement strategies to increase the number of residents who sign up to return to on-campus housing the following year, and assess the effectiveness of those strategies each semester through the use of surveys, focus groups, and other methods. 14. Develop marketing strategies to promote different living options. Design attractive and informative print and electronic promotional materials for housing as needed, and keep information, floor plans, pictures, etc., related to housing options on campus current. 15. Conduct student focus groups on a regular basis to gather input about on campus living, and use the gathered information to make informed decisions about updating programs and policies for the department. 16. Research, recommend, and coordinate the implementation of new housing options as needed. Conduct regular research to remain abreast of national and regional on-campus housing trends in order to maintain an attractive and competitive on-campus living experience for all students. 17.
