ABOUT THE ROLE
The Coordinator – Production is an entry-level to early-career role supporting the Director of Production in executing experiential programs. You’ll help ensure programs are delivered on time, on budget, and to client expectations. The role requires strong organization, communication, and adaptability, collaborating cross-functionally with Client Services, Staffing, Digital, vendors, and warehouse partners. Travel may be required for on-site execution.
KEY RESPONSIBILITIES
Production & Program Execution
Support planning and execution of experiential programs, mobile tours, fabrication, expos, and events.
Assist with vendor sourcing, estimates, production timelines, and logistics.
Track deliverables, flag risks, and support on-site execution as needed.
Coordinate warehouse personnel for program launches, returns, and shipping.
Warehousing & Logistics
Manage inventory, packing lists, and inbound/outbound shipments.
Monitor freight schedules and troubleshoot shipping issues.
Maintain organized production assets in file-sharing systems (SharePoint, Google Drive).
Keep warehouse operations organized, efficient, and ready for tours/events.
Budget & Administrative Support
Assist with purchase orders, invoices, and expense tracking.
Support reconciliation and maintain organized production files.
Cross-Functional Collaboration
Work with Client Services to align execution with client expectations.
Attend internal and client calls, documenting production-related notes.
Provide production calendars and updates to Digital and internal teams.
LOCATION
Hybrid – Tyler, TX preferred (Remote opportunities available).
ABOUT YOU
1–3 years’ experience in event production, experiential marketing, logistics, or operations.
Bachelor’s or Associate’s degree preferred (or equivalent experience).
Strong organizational skills; ability to manage multiple timelines simultaneously.
Proficient in Microsoft 365 (Excel, PowerPoint), SharePoint/Google Drive, Zoom/Teams; Slack/Smartsheet a plus.
Experience coordinating vendors, freight, or inventory is a plus.
Comfortable in a fast-paced, dynamic environment with hands‑on execution.
Growth mindset; open to coaching and professional development.
Able to collaborate virtually across multiple US time zones.
Willing to work occasional nights/weekends and travel.
Positive, solutions-oriented, team player with a “can-do” attitude.
