Marketing Events Manager
Your Role at impact.com
The Marketing Events Manager is responsible for the end‑to‑end planning, organization, and execution of a diverse portfolio of company events, including major tradeshows, industry conferences, customer‑facing VIP experiences, and the annual internal marketing team offsite. The core objective is to ensure all events run seamlessly and achieve their defined business goals.
What You’ll Do
Meet with internal stakeholders (Agency, Client Success and Sales or other internal teams) to collaborate on event needs, goals, and success metrics. Establish clear roles and responsibilities for pre‑ and post‑event activation. Enable attending staff with reports, event briefs, staff meetings, and other resources to ensure they’re set up for success.
Develop comprehensive and organized event plans, including timelines, schedules, and task assignments that are visible to internal and external stakeholders. Coordinate with vendors, venues, and other service providers. Manage event requirements like registration, oversee contracts, build internal event landing pages on CVENT or via the Web Dev team, work with internal teams to ensure accurate event reporting, and order and ship required materials.
Develop and execute marketing strategies in collaboration with the broader marketing team, which can include social media, demand generation, design, content marketing, and public relations, among other promotional strategies. Provide internal teams with detailed information, briefs, deadlines, and advance notice needed for them to carry out their work.
Oversee day‑of event management and coordination to ensure the event and programming run according to plan, handle any issues that arise, and manage the event staff in a professional manner.
Create and manage the event budget, ensure costs are controlled, submit bills for payment, and reconcile corporate credit card charges.
Conduct analysis after the event to assess its success, gather attendee and stakeholder feedback, and identify areas for improvement. Update reports to track event success over time.
Serve as the end‑to‑end project manager for the exclusive, annual, multi‑day Partnerships Titans event (≈ 50 key customers), co‑produced with a major agency partner. Own all event logistics, act as the primary contact for activations/excursions, build the CVENT registration page, drive attendance through coordinating internal marketing support, and provide comprehensive reporting on registration status and key event metrics.
Drive key planning and execution elements of our annual iPX customer and thought‑leadership conference. Spearhead all prospective sponsor communications (outreach, pitch calls, and option review) and oversee the comprehensive, timely fulfillment of all contractual sponsor deliverables, such as contract management, invoicing, VIP seating, print/digital asset allocation, exhibit hall assets, and other iPX projects/involvement as assigned.
Manage the end‑to‑end logistics, organization, and high‑touch communication for executive and VIP customer/partner experiences (e.g., sporting event and concert tickets). Collaborate with key stakeholders to strategically define and execute the optimal outreach strategy for these engagements.
Own end‑to‑end planning and execution of the annual Marketing offsite, including site research and selection, logistics (travel, room blocks, catering), budget management, and vendor coordination. Ensure seamless delivery through detailed agenda and speaker management, stakeholder communication and alignment, and oversight of all technology/AV needs or ancillary events and gifting. Lead on‑site execution as the primary point of contact and drive post‑event analysis (surveys, ROI, and recommendations) to continuously improve future offsites.
Assist Event team Senior Managers and the Senior Director in the execution of events by developing critical materials such as presentation decks, event briefs, registration platforms, and external guest correspondence.
