Position Overview This is a
Contract Specialist
position that requires independent work with minimal supervision. The role involves gathering, verifying, and processing documentation, leveraging technology to enhance communication and operational efficiency of the service branch.
Key Responsibilities
Serve as secondary support for incoming phone inquiries
Conduct renewal reviews to ensure accuracy and timeliness
Process contract cancellations accurately and efficiently
Manage Preventative Maintenance (PM) plans
Book new contracts and ensure proper system entry
Perform daily reviews of closed but un‑booked contract opportunities
Lead contract handoff reviews with Sales and Service Managers
Manage and update scope changes as needed
Oversee parts management for annual service requirements
Participate in Operations and Sales Daily Management Board (DMB) meetings
Review PM and renewal metrics; provide updates on progress and performance
Support Accounts Receivable (AR) requests related to contract invoicing
Handle monthly contract billing and release billing blocks as required
Required Qualifications
High School diploma or GED
3+ years of experience in Contract Administration or Customer Service
1+ years of experience using Microsoft Office Suite
Preferred Qualifications
Associate’s or Bachelor’s degree in Business, Administration, or related field
Experience in the HVAC industry
Excellent verbal and written communication skills
Strong organizational skills
Excellent attention to detail and accuracy
Experience with Microsoft Office
Experience with Salesforce, SAP, or similar CRM
Pay Range The annual salary for this position is between $64,500.00 and $129,500.00, depending on skills, education, experience, and other unique qualifications.
Other Compensation Position may be entitled to short‑term cash incentives, subject to plan requirements.
