Wildfire Defense Systems, Inc. ("WDS") is a Qualified Insurance Resource (QIR) operating the largest private sector wildfire service in the nation, encompassing a 22-state service area and specializing in wildfire education, loss prevention, and wildfire response services. Qualified Insurance Resources are defined as NWCG qualified or equivalent, wildland engines, tenders, hand crews, fire/liaison officers, and personnel working for or contracted by an insurance company with a mission to mitigate impacts on insured structures threatened by wildfire. WDS holds contracts with insurance companies to provide wildfire loss prevention services. WDS fields experienced, highly trained, safety-focused wildfire officers and fire personnel that hold a wide range of Federal Wildfire Incident Command position classifications necessary to meet or exceed all federal wildfire operation standards and codes including all requirements of the National Wildfire Coordinating Group ("NWCG") or equivalent. WDS is capable of providing more than 180 wildland engines and hundreds of fire personnel and support personnel. WDS has served large and small insurance clients since 2008.

Purpose and Scope of Position The Client Communications Manager supports the Professional Services Business Unit by producing high-quality client-facing deliverables, developing tailored marketing materials, conducting industry and competitor research, and managing social media content for Wildfire Defense Systems (WDS), Wildfire Defence Systems Canada (WDS Canada), and WD Fire Supply. Additionally, this position is responsible for ensuring consistent messaging, accurate reporting, and strong brand alignment across all client-related communications. The Client Communications Manager plays a key role in elevating the visibility, credibility, and effectiveness of the Wildfire Defense Systems and subsidiaries mission through thoughtful, data-informed marketing support.

Responsibilities

Coordinate with the WDS Director of Marketing to ensure consistency with client deliverables to firm-wide style guide requirements.

Manage the Client Communications department consisting of technical writers and editors, project coordinators (future), and graphic designers (future)

Manage accuracy and updates to sales and business development content including presentations, statement of qualification documents, and marketing fliers.

Create incident-specific summaries on key wildfire incidents that present key metrics, photographs, and successes

Oversee successful delivery of requested project deliverables (e.g., client-specific annual reports, wildfire incident case studies, client facing presentations, and other client deliverables as requested.)

Create polished, professional deliverables for clients, including presentations, reports, one-pagers, and service summaries.

Develop marketing collateral that supports client engagement, retention, and education.

Ensure all materials reflect current service offerings, brand standards, and departmental priorities.

Drive the identification, acquisition, and management of relevant content across Wildfire Defense Systems to create and execute proactive, creative, and effective communications.

Industry & Market Research

Conduct ongoing research on industry trends, competitor offerings, and emerging client needs.

Synthesize findings into actionable insights for the Professional Services leadership team

Support the development of data-driven recommendations to enhance service positioning and client communication strategies

Social Media & Content Management

Manage and develop social media content in alignment with corporate brand guidelines for WDS, WDS Canada, and WD Fire Supply

Collaborate with internal teams to source stories, updates, and insights that highlight the department’s work

Track engagement metrics and recommend content improvements based on performance

Reporting & Analytics

Assist leadership in maintaining accurate reporting on marketing activities, content performance, and client engagement metrics.

Support the development of dashboards, summaries, and analytics used by the VP of Professional Services for strategic planning.

Cross-Functional Collaboration

Partner with subject matter experts, project managers, and leadership to gather information and translate it into clear, compelling content.

Coordinate with the broader Marketing team to ensure alignment on messaging, branding, and campaign timing.

Contribute to continuous improvement of communication processes and templates.

Job Requirements Required Qualifications and Education

Bachelor’s degree in Marketing, Communications, Business, or related field

2 – 4 years of experience in marketing, communications, or content development

Strong writing, editing, and visual communication skills

Experience producing client-facing materials and managing social media content

Ability to conduct and synthesize industry research

Experience working in international markets, primarily Canada

Experience with search engine optimization (SEO) platforms

Proficiency with design tools (e.g., Canva, Adobe Creative Suite) and analytics platform

Strong attention to detail and ability to manage multiple priorities

Preferred Qualifications and Education

Master’s degree in Marketing, Communications, Business, or related field

Bachelor’s degree in Marketing, Communications, Business, or related field

Experience supporting professional services, consulting, or client-facing teams

Familiarity with CRM, project management, or marketing automation tools

Experience developing reporting dashboards or performance summaries

Clear and concise communication

Strong organizational skills

Analytical mindset with curiosity for industry trends

Collaboration and relationship-building

Ability to distill multiple ideas, concepts, and strategies into focused directives and themes

Physical Requirements

Prolonged periods sitting at a desk and working on a computer

Must be able to lift 15-lbs.

The pay range for this role is:

93,000 - 121,000 USD per year (Bozeman, MT)
