Pacific Coast Sales & Service is the San Francisco district office representing the Trane Company that manufactures, manages and services HVAC equipment systems and controls.
We are seeking a Service Sales Assistant to join our Sales team in Sunnyvale, CA. The Sales Assistant supports Sales Engineers by coordinating technical sales activities, preparing proposals and quotations, managing customer interactions, and ensuring smooth execution of pre-sales. This role bridges administrative support and technical sales coordination to help drive successful project outcomes.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Assist Sales Engineers in preparing technical proposals, quotations, and booking documents
Coordinate collection of parts identification, pricing, and supporting documentation
Maintain and update leads, opportunities, and project statuses
Track quotation progress and follow up with customers and internal teams
Assist in preparing sales reports, work-in progress, and pipeline summaries
Act as a point of contact for customer inquiries related to quotes, orders, and timelines
Coordinate between Sales Engineers, customers, vendors, and internal departments
Support project handoff from sales to operations to ensure smooth execution
Convert approved quotations into booked jobs
Ensure accuracy of pricing, scope, and technical details in orders
Track order status, delivery timelines, and communicate updates to customers
Maintain organized records of proposals, contracts, and project documentation
Assist with basic billing inquiries
Complete special projects for Service to assist budgeting and future sales
Analyze and create matrices of equipment for sales budgeting and planning
Assist Sales Engineers as required
QUALIFICATIONS
Degree in Business, Engineering, or related field, or 3–5 years of experience in sales support, technical sales, or coordination roles
Ability to understand technical service products and communicate effectively with sales engineers and customers
Strong organizational, multitasking, and communication skills
Proficiency in Microsoft Office, CRM and GP
