Join Us as a Director of Operations The Director of Operations is responsible for overseeing the daily operational performance of care coordination and center administration functions across the organization. Reporting directly to the Vice President of Operations, this role ensures that frontline operational teams execute efficiently, meet key performance indicators, maintain accurate scheduling and documentation practices, and deliver a high level of customer service to families and staff.

The Director of Operations partners closely with operational leaders, state leadership, and support departments to strengthen workflows, improve accountability, and support timely service delivery across all locations.

What You’ll Do: Operational Team Leadership

Report directly to the Vice President of Operations and support execution of operational priorities across assigned markets and departments.

Oversee Care Coordinators and Center Administrators, ensuring consistent daily operational performance and accountability.

Provide day‑to‑day leadership, coaching, and performance oversight to frontline operational teams.

Ensure care coordination and administrative teams meet established KPIs and departmental expectations.

Performance Management & KPI Oversight

Monitor daily, weekly, and monthly productivity metrics for Care Coordinators and Center Administrators.

Address performance gaps through coaching, accountability measures, and workflow adjustments.

Ensure operational tasks are completed accurately and within expected timelines.

Clinical Records Auditing & Accuracy

Audit CR systems regularly for:

scheduling errors

coding errors

unconverted sessions

authorization utilization

Identify trends, escalate issues when necessary, and ensure corrective action is implemented promptly.

Maintain strong operational data accuracy to support scheduling, billing, and service delivery.

Training & Policy Implementation

Train Center Administrators and Care Coordinators on company policies, procedures, and operational expectations.

Reinforce compliance with internal workflows and service standards.

Support onboarding and continuous development of operational staff.

Operational Efficiency & Process Improvement

Create greater efficiency within the department through use of technology, automation, and workflow improvements.

Identify operational barriers and recommend solutions that improve team productivity and service responsiveness.

Support implementation of new systems and tools that strengthen department performance.

Family & Employee Follow-Up Oversight

Ensure monthly follow‑up communication is completed with families and employees according to company expectations.

Monitor consistency and quality of communication across teams.

Support proactive issue resolution to improve satisfaction and retention.

Staffing Coordination Support

Ensure all new hires are assigned to clients within three business days of completing training.

Monitor assignment timelines and coordinate with clinical and operational teams to reduce delays in service start.

Escalate barriers impacting timely assignment and service initiation.

Quality Assurance & Customer Experience

Review phone recordings regularly for quality assurance, coaching, and training purposes.

Provide direct feedback to staff to improve communication and service delivery.

Ensure staff consistently demonstrate excellent customer service with families, employees, and referral sources.

Other Duties as Assigned

Perform other duties as assigned to support operational priorities, department performance, and organizational needs.

What You’ll Need

Bachelor’s degree required in Business Administration, Healthcare Administration, Operations, Human Services, or related field

Minimum of 2 years of operational leadership experience in healthcare, ABA, behavioral health, or multi‑site service environments with direct supervision of administrative and/or operational teams.

Experience with scheduling systems, service coordination, or healthcare operational workflows

Strong understanding of KPI management, process improvement, and team accountability

Experience auditing operational data and maintaining documentation accuracy

Strong communication, training, and leadership skills

Work Location & Hours: This position operates in a hybrid setting and can be located from any of the following NJ EI Centers: Newark, Voorhees, Jackson, or Clifton. The core hours are 8:30am to 5:00pm.

Reasonable Pay Estimate A reasonable estimate of the pay range for this position is $90,000.00 to $115,000.00 per year. There are numerous factors taken into consideration in determining the actual offered rate of pay, including but not limited to: job‑related qualifications, experience, skills, education, geographic location, and consideration of internal and experience equity.
