This role ensures releases are completed within regulatory timeframes and maintains collateral files within the loan vault. The Loan Collateral Release Specialist I provides operational support by imaging documentation, filing loose documents, preparing files for storage or destruction, and responding to internal document requests promptly and professionally. The Loan Collateral Release Specialist I will also meet targeted performance levels and communicate with bank management to promote efficient and accurate workflow while also establishing positive working relationships.**Major Duties and Responsibilities:*** Upholds SmartBank Core Values and Core Purpose.* Adheres to and embraces the SmartBank Way by Acting Smart, Looking Smart and Being Smart.* Establish standards of excellence for the area and look for ways to improve and promote quality.* Maintain knowledge of release laws and requirements for multiple states and collateral types.* Communicate with relationship managers as needed on loan status updates.* Process all paid out loans including deed releases, UCCs, titles, CDs, etc.* Send all paid out documentation for recording to the appropriate state and county.* Maintain collateral files and ensure proper placement within the loan vault.* Image loan, customer, and financial documentation.* Provide copies of documents and files to associates as requested.* File wet signature documentation and other singular documents within three days of receipt.* Prepare and package closed files for offsite storage or destruction.* Maintain accurate entries in records retention systems.* Assist with weekly collateral baskets and monitor recorded mortgages.* Communicate with flood vendor to terminate Life of Loan tracking on paid out loans.* Comply with all departmental procedures and policies.* Required to stay up to date on all systems by attending webinars or classes as needed.* Complies with all applicable federal, state, and local banking and industry related laws and regulations including but not limited to the Bank Secrecy Act.* Perform other duties and special projects assigned.**Position Requirements and Qualifications:****Education and Experience:*** High school diploma or equivalent required. Bachelor's degree in business or equivalent work experience is preferred.* Minimum 3 years' banking or customer service experience required.* One year's loan-related experience is preferred.**Training Requirements (licenses, programs, or certificates):*** None**Knowledge, Skills, and Abilities:*** Ability to apply knowledge and sound judgment in decision-making while adhering to SmartBank policies.* Proficient level of computer competency including Microsoft Office, FIS and nCino.* Excellent interpersonal and written communication skills. Ability to interact with a diverse group of people with tact and professionalism.* Must be capable of handling confidential information in a trustworthy manner.* Must possess the ability to handle multiple tasks simultaneously, with frequent interruptions.* A willingness to accept innovative ideas and methods and be agreeable to change.* Detail oriented and ability to function in a team environment.
