
Ultra Luxury Operations Specialist

WildChina is seeking a meticulous and detail-oriented Ultra‑Luxury Operations Specialist to join our team in Beijing or Shanghai. This role is essential to delivering flawless, world‑class experiences for ultra‑high‑net‑worth individuals (UHNWI) traveling to China, working in close partnership with our small ultra‑luxury team.

Key Responsibilities
Luxury Accommodation Management: Negotiate rates for top‑level presidential suites, villas and whole‑property buyouts at China’s top luxury hotels, resorts, and exclusive properties, ensuring all special requests and preferences for UHNWI clients are meticulously arranged and confirmed.
Fine Dining Coordination: Book premium restaurant reservations at sought‑after venues (e.g., Michelin‑star restaurants), coordinate private dining experiences, and arrange special culinary experiences that align with client preferences and dietary requirements.
Guide Management: Coordinate, book, and comprehensively brief elite local guides on client preferences, itinerary details, and service expectations to ensure seamless delivery of exceptional experiences.
Pre‑Trip Quality Assurance: Conduct thorough verification of all trip details, confirmations, and arrangements prior to client departure, ensuring every element meets ultra‑luxury standards and client specifications.
Client Experience Enhancement: Coordinate welcome gifts, personalized touchpoints throughout the journey, and memorable “wow moments” that exceed client expectations and create lasting impressions.
Operational Excellence: Manage all logistical details including transportation, special access arrangements, and on‑ground coordination to ensure flawless execution of each itinerary.
Financial Administration: Process and manage all payments, invoices, and financial transactions through WildChina’s accounting system with accuracy and attention to detail.
Vendor Relations: Build and maintain strong relationships with luxury hotels, restaurants, guides, and service providers across China to ensure priority access and exceptional service delivery.
Qualifications
Essential Experience: Proven experience in luxury travel operations, high‑end hospitality, event management, or operations roles serving discerning clientele. Experience with UHNWI clients is highly preferred.
China Knowledge: Strong familiarity with China’s luxury travel landscape, premium hotels, fine dining scene, and cultural nuances; deep interest in China’s destinations and experiences.
Language Skills: Fluency in Mandarin Chinese required; proficiency in English essential for communication with international clients and team members.
Technical Proficiency: Comfortable with CRM systems (HubSpot experience preferred), and accounting/financial management software.
Professional Attributes: Exceptional organizational skills, obsessive attention to detail, proactive problem‑solving abilities, excellent communication skills, and ability to manage multiple complex itineraries simultaneously.
Flexibility: Open to flexible working hours (e.g., Tuesday through Saturday schedule) to accommodate client needs, time zone differences, and real‑time operational requirements.
