RESPONSIBILITIES: Schedules appointments for Program Advisors with both prospective as well as current client-members and manages Advisors' schedules. Effectively analyzes existing clients' service requests and processes them in an accurate and timely manner. Presents a professional image in appearance, telephone and interpersonal etiquette that projects the Credit Union, the SERIS Program and the Broker/Dealer in a positive light. Cultivates a strong working relationship, open lines of communication, and trust among the employees and members. Manages, updates, and completes referral process in both Credit Union's MRM system and TruStage CRM system (Salesforce) to meet the needs of both Credit Union and Broker/Dealer. Supports marketing of the SERIS Program to both Credit Union employees and members; keeps ordering/inventory checks on marketing materials Advisors need, ensuring sufficient and current material is in stock. Coordinates with Training Dept. for timely scheduling of all new hires to meet with SERIS Advisor as part of new employee orientation. Produces correspondence (written, email, telephone, in-person), reports, and executes any special projects as needed. Manages client filing system according to compliance guidelines. Maintains compliance standards and reports. Follows, maintains, updates, and develops SERIS-related procedures, as needed, to reflect all necessary operational, administrative, security and regulatory changes as they arise, to ensure the ultimate continuity and seamlessness of member service. Responsible for coordination with the Sun East Marketing Department for the submission of marketing materials through the LPL compliance system; and following through to the approval process, internal postings and memos. Handles daily client communications. Plans for seminars and annual meeting by preparing handouts, informational seminar packets, RSVP and attendance logs, making room arrangements and accommodations, provides necessary seminar follow up correspondence, etc. Processes and analyzes mail, with attention to time sensitive requirements. Accurately processes all applications and accompanying paperwork for new business. Prepares daily files and any necessary forms, letters and mailings for new clients as well as for annual review appointments. Maintains office compliance at all times, including but not limited to: ensuring all sales materials and forms are current; ensures current lobby displays and other marketing materials; ensures current advertising log. Posts daily incoming deposits and correspondence through EAI Rep Workstation. Utilizes Activity Tracker to prepare Management Reports for the Credit Union, CUNA Brokerage Services and the Advisor. Places outbound calls/telemarketing to prospects and works with member marketing lists to solicit new SERIS appointments Other duties as assigned. TRAINING AND DEVELOPMENT EXPECTATIONS: Takes training required for the position Participates in select Credit Union and TruStage meetings, webinars and/or training with Advisors to obtain contextual, "big picture" knowledge of Program expectations and support needed to achieve growth goals. Understands and complies with all state and federal regulations and laws. Ensures compliance with all governing regulations, especially the Bank Secrecy Act requirements. Bank Secrecy Act knowledge will be determined by the employee's position and responsibilities. Seeks additional training in areas outside of the job requirements. Participates in community involvement activities as a SERIS and Credit Union Representative to create greater awareness and exposure for the Program. PHYSICAL REQUIREMENTS: Work is of a generally sedentary nature with limited need to lift or otherwise move objects (10 lbs. or under) and requires the ability to sit for extended periods of time. Requires manual dexterity and visual ability (focusing on accuracy and thoroughness of visual material) to work at a computer terminal, utilize keyboard, telephone and other standard office equipment. Must also be able to deliver and receive verbal communication. Some local travel is required. SKILLS AND/OR QUALIFICATIONS: Excellent administrative and secretarial skills with 3-5 years experience. Proficient in a Windows environment on PC with a working understanding of EXCEL worksheets and Mail Merge functions. Confident engaging with people in person and over the phone, with clear, professional communication skills. Must be a team player and advocate for the SERIS Program with the ability to engender rapport with clients and build trust and confidence in the Program with all internal and external stakeholders. Is a self-starter who takes initiative to promote the Program; suggests administrative efficiencies and process improvements that translate into a positive member experience. Possesses a helpful service orientation and a friendly, outgoing and welcoming disposition. Exercises ethical standards and is sensitive to privacy of member information. Ability to handle complex projects in a confidential manner. Multi-tasking abilities required. Financial and/or brokerage experience helpful, but not necessary. Sales and support experience helpful but not necessary. Must be able to manage time effectively and prioritize responsibilities.
