Corporate Sales Administrator
H.O. Penn Machinery is hiring immediately for a Corporate Sales Administrator in Poughkeepsie, NY. Pay is $22-$27/hour, dependent on experience, with a 5% bonus potential. Key qualifications include a minimum of 3 years of administrative experience in equipment sales, fleet management, transportation/logistics, or a related corporate operations environment. Prior experience supporting sales teams and managing high-volume transactional documentation is required. Advanced proficiency in Microsoft Excel (tracking, reconciliation, reporting), with the capability to learn additional proprietary systems and programs is also necessary. Exceptional attention to detail with a high level of accuracy in documentation, data entry, and compliance-related paperwork is essential. Strong written and verbal communication skills with the ability to relay accurate information across branches, departments, vendors, OEMs, and third-party partners is required. Responsibilities include coordinating and tracking all equipment and attachment activity, sorting, distributing, and communicating the movement of all machines and attachments via daily tickets from all branches to all required recipients, setting up, maintaining, and tracking ID numbers for attachments received from the Parts Department on new and LKE/rental fleet machines, placing CMOPS (CAT components/parts) orders as requested by the Parts Dept. for attachments stocked through the Parts Dept., processing sales out of the rental fleet, effectively and efficiently coordinating the movement of machines from factory to branches, coordinating transportation and RPM Quick Evac installation for machines from the factory/dealers to the branches to meet local inventory needs, processing machine delivery location order changes via Cat systems, advising service departments of impending new arrivals by providing machine information, collecting documentation and filing damage claims with the appropriate party, coordinating necessary motor vehicle paperwork for new, used, and LKE transactions, researching all necessary documentation including machine/trailer origination with regard to motor vehicle requests to ensure consistency and accuracy for distribution, following up as needed to obtain ownership documentation, providing administrative support and assistance to Corporate Sales in a timely and accurate manner, researching and calculating monthly commission for all Machine Reps, accessing Cat system to print, record, and file all manufacturers' certificates of origin, processing Cat Defense merchandising claims through the 3rd party Cat network, processing, reconciling, and coding EPP settlements, and processing paperwork for approved dealer transfers. Physical requirements include standing and/or sitting for prolonged periods of time, hand coordination for typing, writing, and computer use, occasional forward bending and reaching, occasional walking and climbing stairs, and carrying (up to 20lbs.).
