Role Description The Event Digital Content Associate will assist with managing digital & marketing content for ePoster events, including preparation, organization, and coordination of presentations and event software platforms for conferences. Responsibilities include creating and editing web/marketing content, supporting event operations, troubleshooting content issues during events, and ensuring a seamless digital experience for clients and attendees. This is a full‑time, on‑site role located in Charlestown, MA. Salary $53,000.00 per year Scope of Position Under general supervision of the owner and/or the Chief Operating Officer, the individual is expected to carry out event planning, presenter support and event support activities of moderate complexity, requiring professional training and expertise with research presentation formatting review & technical support processes. Responsibilities Presenter Support & Content/File Management Poster Review for file formatting. Complete the research presentation file sorting organization tasks. Trouble shoot poster submissions files that require more attention. Assist with communicating with presenters as needed. Build out event kiosk menus. Maintain an updated and organized presenter list. As needed assist with modifying poster designs. Setup the Sharefile folder structure based on the event type and keep folders up to date with all new received files from presenters & organizers. Engage and provide support for presenter technical support and formatting questions via email, chat and phone support. Provide support with presenter email communications prior to the event. Assist with the custom board signage creation for events. Pre‑load tablet devices with poster files and/or folders. Test out poster files on ePosterBoards computers to verify functionality. Proactively look for new opportunities to better train presenters & attendees on using the platforms. Event Support Responsibilities Before and after, as needed assist equipment manager with final prep for equipment accessories and computer maintenance. Actively participate, via leading‑by‑example, in the event setup and breakdown; and remain on‑site during each venue to provide technical support and troubleshoot any technical issues. At assigned events, participate in the setup/breakdown with on‑site crew and verify that all equipment has been handled correctly. Participate in setting up the ePosterBoards help desk, implementing the tech tasks and troubleshooting any internet/power issues. Setup desktop notifications and custom help desk signage for assigned events. Assist with setting up the custom signs for upcoming events. Assist the ePoster presenters to successfully upload, trouble‑shoot and optimize their poster presentations during the onsite presenter check‑in periods. Assist with providing continuous technical support for presenters and organizers while onsite at events. Provide online event support for the setup and virtual technical and moderation support for assigned ePosterBoards virtual events. Maintain the event & operations standards that have been set by the ePosterBoards owners. Assist with maintenance of social media platforms [facebook, Instagram etc] with event photos and recent event postings pre or post events. Create digital content postings for linked in pages of upcoming event season bookings and ePoster technical support related topics. Create updated digital content for usage on ePosterBoards website and presenter materials. Assist the Chief Operating Officer with setting up sales outreach initiative by generating potential client lists for upcoming events. Assist with setting up advertising clients’ digital projects. Assist with setup and order maintenance for advertising collateral for upcoming sponsorship clients. Assist with updates to ePosterBoards website and marketing landing pages. Assist with updating digital and hardcopy sales & marketing collateral. Event Software & Technical Support Responsibilities Design upload submission portals and forms. Maintain remote desktop software on ePB computers. Program event notifications on ePosterBoards tablets. Process online web gallery site requests and build out sites. As needed, provide support with oversight for abstract submission sites. Process any help desk ticket request on Happyfox and Purechat. Schedule and provide support during virtual platform presenter/judge test sessions. *Note: Some of the job responsibilities described above will potentially change during employment based on the growth and development of our business. Qualifications Education: Bachelor's degree in Hospitality, Marketing/Communications, Business, or a related field. Experience: Minimum of 4 years of professional full‑time work experience. Operational Skills: Must be able to lift 40-50lbs and comfortable handling AV related equipment. Technical Skills: Proficiency with both Mac and PC platforms, Microsoft Office Suite, presentation software, web design platforms, Adobe Creative Suite, and virtual conferencing tools. Schedule Flexibility: Willingness to work varied hours, including evenings, weekends, and occasional travel.
