Customer Service Representative (Contract-to-Hire)
Location: Oak Forest, IL (On-site) Pay Rate: $18-$20/hour Duration: 6-month contract with strong potential for permanent conversion Schedule: Full-time, daytime hours
About the Role We are looking for a Dispatcher / Customer Service Representative to join a close-knit, collaborative office team in Oak Forest, IL. This role will serve as a key point of contact for patients, providers, and internal teams, handling order processing, referrals, and insurance-related documentation while delivering excellent customer service.
What You'll Do
Handle approximately 30 inbound calls daily and 40-50 outbound calls related to order processing and referrals
Assist with walk‑in customers and perform basic DME order entry
Navigate multiple EMR systems to obtain and review required documentation
Enter, verify, and maintain accurate information in EMR systems, including authorizations and expiration dates
Communicate trends, issues, or insurance‑related updates to Customer Service and Management
Verify insurance carriers in the database and request additions as needed
Contact patients when documentation does not meet payer guidelines to provide updates and alternative options
Respond to all calls and emails promptly, meeting service and quality goals
Accurately document all interactions according to standard operating procedures
Meet quality assurance standards and performance metrics
Assist with customer complaint resolution and problem‑solving
Utilize company tools such as Authorization Guidelines, Insurance Guidelines, Fee Schedules, NPI, PECOS, and internal "How‑To" resources
Required Qualifications
1+ year of customer service experience, preferably in a call center, dispatching, or order‑entry environment
Experience handling high‑volume calls (40+ per day)
Basic to intermediate experience with Microsoft Office
Strong time management, multi‑tasking, and problem‑solving skills
Comfortable navigating multiple systems and learning new technology
Preferred Qualifications
Durable Medical Equipment (DME) experience
Demonstrated job stability and long‑term tenure in past roles
Work Environment & Culture
Small, friendly office with 4-5 team members on‑site (drivers are often in the field)
Training may include a few days at the Elmhurst location
