The Personal Assistant will provide high-level administrative support, manage schedules, communications, and various tasks to enhance the COO’s efficiency and effectiveness. Key Responsibilities
Schedule Management:
Responsible for managing the COO’s calendar, including scheduling meetings, appointments, and travel arrangements. This requires excellent organizational skills to prioritize tasks effectively. Communication:
Acting as the primary point of contact for internal and external communications, the assistant screens calls, emails, and visitors, ensuring that time is optimized. Confidentiality:
Handling sensitive information with discretion is crucial. The Personal Assistant must maintain confidentiality regarding both personal and professional matters. Meeting Coordination:
Preparing materials for meetings, taking notes, and following up on action items are essential tasks that support the decision-making processes. Administrative Support:
This includes managing correspondence, preparing reports, and assisting with operation management and expense tracking. Assisting with financial tasks for both businesses and personal. Coordinate Efforts:
Coordinate with other staff members to ensure smooth operation of all initiatives. Production Admin Assistance:
Assisting production with various office work. Qualifications/Skills
Exceptional ability to manage multiple tasks and prioritize effectively is essential for this role. Outstanding organizational and time management skills, ability to multitask and prioritize daily workload. Strong verbal and written communications skills Proven work experience as a Personal Assistant Technical Proficiency including knowledge of office management systems and procedures MS Office and English proficiency Discretion and confidentiality Team & Culture
