Executive Business Manager

The Executive Business Manager serves as a direct extension of leadership, responsible for executing and managing key day-to-day business functions across the organization. This role combines executive support with operational ownership, including management of executive calendars, communications, and priorities, as well as coordination across finance, human resources, vendors, and internal systems.

This individual is empowered to make routine decisions on behalf of leadership with a primary objective to reduce executive involvement in non-strategic activities while improving operational efficiency and consistency across the organization. The role is expected to support and coordinate execution across multiple areas of the business, assist with projects, processes, and administrative infrastructure, and help ensure that priorities are carried through to completion.

Primary Responsibilities Executive Support. This covers direct support of leadership and ensures organization, efficiency, and alignment across executive activities.

Calendar Management. Manage executive calendars, schedule internal and external meetings, and proactively identify conflicts or inefficiencies. Ensure time is aligned with priorities.

Meeting Management. Prepare agendas, materials, and notes as needed. Ensure meetings are properly scheduled, supported, and productive.

Communication Management. Handle confidential communications with professionalism and discretion. Respond, route, or resolve communications on behalf of leadership when appropriate.

Internal Coordination. Serve as a central point of contact for internal communication and follow-through. Ensure alignment across priorities, requests, and ongoing activities.

Travel Management. Coordinate travel logistics, including flights, lodging, and itineraries.

Operations. Supporting core business functions through execution and management of projects, tasks, and operational responsibilities, ensuring priorities are carried through and the business remains organized and operating effectively.

Project Management. Manage projects initiated by leadership. Track timelines, action items, and deliverables to ensure progress and completion.

Vendor Management. Manage vendor relationships, request and evaluate proposals, and coordinate services and follow-through.

Events & Initiatives. Support planning and execution of events and business initiatives, including logistics, coordination, and follow-through.

Financial Coordination. Coordinate with external bookkeepers and CPAs. Organize financial documentation and support ongoing financial processes and reporting.

Staffing. Screen resumes, manage job postings, and coordinate interviews with leadership and team members for qualified candidates.

Onboarding & Records. Handle onboarding documentation, maintain employee files, and ensure records are complete and compliant with internal processes.

Benefits Administration. Assist with healthcare, insurance, payroll vendors, and time-off tracking. Serve as an internal point of coordination for HR-related matters.

Performance Evaluation. Coordinate and assist with performance reviews, scheduling, and related processes.

Document Management. Maintain organized records of agreements, key business documents, and corporate organizational records. Track filing dates and renewals as required.

Business Solutions. Evaluating needs, developing structure, and supporting implementation of solutions across the business.

Strategic Assistance. Research, evaluate, and provide recommendations on tools, vendors, and solutions based on defined business needs and initiatives.

Process Development. Develop and document processes, workflows, and operational structure where needed to support consistency and scalability.

Workflow Improvement. Identify inefficiencies and assist in refining systems and processes to improve overall operational effectiveness.

Implementation Support. Assist with rollout and coordination of new tools, systems, and operational initiatives.

All Other Duties as Assigned. The Executive Business Manager will be expected to assist in other duties, tasks, or assignments on an as-needed basis whenever requested. This may include additional responsibilities based on evolving business needs.

Qualifications

Minimum 3 years of experience in Executive Support, Business Management, or similar role

Proven experience supporting senior leadership in a fast-paced, multi-functional environment

Strong organizational skills with the ability to manage multiple projects, priorities, and deadlines

Ability to evaluate options, think through problems, and provide clear, well-reasoned recommendations

Demonstrated communication skills, with the ability to engage professionally in both written and verbal interactions with leadership, team members, vendors, and external stakeholders

Working knowledge of financial coordination and basic accounting principles

Understanding of HR processes, including hiring, onboarding, and benefits administration

Background utilizing CRM systems, accounting software, and HR platforms
