Intellectual Property Operations Specialist

Position Summary: Reporting to the Vice President & Asst. General Counsel, Intellectual Property, the IP Operations Specialist supports the IP Department to ensure the efficient management of the Company's IP database, processes, and documentation related to the Company's global IP portfolio. With oversight, this position manages the repository of company IP assets, including ensuring annuities are paid. Key Responsibilities: IP Database Management: Support implementation of new IP database and IP workflows, including data migration from other IP databases Maintains the IP database by overseeing database data uploads, corresponding with database support, ensuring database operational functionality, and entering information from outside counsel or about acquired or divested assets as needed Oversees the database payment of IP maintenance fees and updates database to reflect any necessary fee instruction changes. Generates reports and dashboards from database as requested by IP team or other internal partners. Creates records and performs other miscellaneous tasks within the IP database, including minor docketing matters Client Support: Provides administrative and operational support to the IP team for IP prosecution, litigation, licensing, and transactional matters. Liaise with outside counsel and vendors for invoicing, budgeting, and cost tracking as needed. Analyze and process IP-related communications; resolve inquiries and requests from internal and external partners and assist in developing protocols to proactively address recurring issues Other duties as assigned. Qualifications: Education & Experience: Bachelor's degree with 1-2 years IP experience in a corporation or law firm OR Associate's degree with 2-4 years IP experience in a corporation or law firm, OR equivalent experience. Experience in IP operations, legal administration, or similar role (pharmaceutical or biotech industry preferred). Experience with IP management systems (e.g., Clarivate systems, CPI, Anaqua) and docketing processes. Working knowledge of global patent and trademark procedures preferred. Must be highly organized and have meticulous attention to detail. Preferred Skills: Proficiency in IP databases and reporting tools Proficiency in Microsoft Office tools including Excel, PowerPoint and Word. Strong organizational skills. Excellent attention to detail and ability to manage multiple priorities.
