Position Overview We are seeking a highly organized, detail-oriented, and execution-driven Transaction Coordinator (TC) to support our Acquisitions Team.
This role is responsible for driving deals from contract to close by ensuring:
All due diligence items are completed All stakeholders are aligned All deadlines are met All risks are identified and escalated early
You will act as the central command hub of each deal, coordinating across acquisitions, legal, finance, operations, and third-party vendors.
This is not an admin role — this is a deal execution role.
Core Responsibilities Take full ownership of deals upon PSA execution Build and manage deal timelines (critical path) Ensure all milestones are achieved Drive deals forward — do not wait for direction
The TC ensures deals close on time and without surprises Own and manage the Due Diligence Checklist (end-to-end) Ensure 100% completion of all required items before closing Coordinate and track Property inspections and reports Legal and compliance documents
Vendor & Third-Party Coordination Engage and manage all third-party vendors Survey Property inspections Track delivery timelines and follow up proactively Ensure quality and completeness of reports Coordinate with internal and external legal teams on LOIs PSAs Amendments Track document execution and revisions Ensure contractual obligations are met on time
Cross-Functional Alignment Act as the communication hub across all deal stakeholders:
Acquisitions (VP, Analysts) Legal counsel Finance & Accounting Operations team Brokers and sellers
Systems, Data & Documentation Management Maintain clean, accurate, and real‑time deal data across HubSpot – Deal pipeline and notes Dropbox / Drive – File organization Ensure Proper naming conventions Version control
Risk Identification & Escalation Identify issues early Delayed reports Legal risks Escalate to VP of Acquisitions proactively Provide solutions and next steps
Closing Coordination Coordinate all closing activities Final documentation Settlement statements Confirm All DD completed All approvals secured Ensure smooth and on-time closing
Post-Closing Handoff Operations Asset Management Deliver Organized documentation Key data and insights

Qualifications Required:
2–5+ years experience in real estate transactions, acquisitions, or coordination Strong organizational and follow-up skills
Preferred:
Prior CRE experience and training at one of the national firms (JLL, M&M, Cushman, CBRE, Colliers, etc) would be an added benefit. Familiarity with Monday.com, HubSpot, Dropbox and legal and closing workflows.
