Property Administrator

The Property Administrator is responsible for working directly with the Property Management team in performing clerical and administrative assignments for a Class A office building.

Essential Functions and Responsibilities

Provide full administrative support, including phone support, typing reports, filing, and distribution of correspondence.

Assist in lease administration activities, including updating tenant contacts, parking information, etc.

Monitor and maintain the property maintenance work order system.

Prepare and coordinate bid proposals, service contracts, and purchase orders.

Prepare, code, and enter invoices into the accounting system in a timely manner.

Ensure office is stocked with office supplies and other required items to maintain the office.

Track and maintain certificates of insurance for tenants and vendors.

Maintain all files, including vendor contract files, tenant lease files, and other files (both hard and soft copies) as requested.

Promote and foster positive relationships with tenants/customers and track service calls as required.

Process tenant bill back invoices through accounting, monthly meter readings of properties, and check requests for review and approval.

Schedule and coordinate meetings/special events, as requested.

Other requirements as needed at the property.

Job Requirements

High school diploma or GED equivalent (college courses preferred).

At least 2 to 3 years of clerical, administrative duties (commercial real estate experience is a plus).

Must have intermediate to advanced Word, Excel & Outlook.

Ability to keep information strictly confidential.

Exceptional oral and written communication skills.

Must be able to handle multiple projects, changing priorities, and a continually heavy workload.

Proficiency in an accounting software such as Yardi is a plus.

Proficiency in a work order system a plus.
